Job Description

We are looking for an Administrative Team Assistant who will be responsible for supporting our Services and Engineering Team located in Sunnyvale, California and their Manager with a variety of administrative tasks. These tasks include:

Administrative Team Assistant:
You will be part of a growing team of 25+ Researchers/Professionals in an international set-up and manage the day-to-day operations in the office in Sunnyvale as a first point of contact with a wide variety of administrative tasks like:

  • Office-related tasks: Update and maintain office policies and procedures to assure compliance, keep the office up-and-running smoothly. Plan/organize and facilitate meetings, workshops, and employee team building activities
  • HR-related tasks: support Hiring and Onboarding process of new associates/interns and work closely with the local HR Team
  • Purchasing-related tasks: work closely together with Procurement Team to process all purchasing needs of the department
  • Travel-related tasks: Review and process Travel Expense reports of all team-members and support with any travel related questions
  • Project-related tasks: Collaborate with Program Coordinator to support planning and coordination of the program and its projects
  • Legal-related tasks: serve as liaison to the regional Legal Team supporting the preparation of legal documents (Non-Disclosure Agreements, Contracts, etc.)
  • IT-related tasks: Maintain IT Inventory, document/monitor non-standard software usage and act as Identity Management User Administrator for the team
  • Internet-related tasks: update and maintain internal webpages for the team
Executive Support:
  • Act as liaison for management team (1 Executive Manager and 2 Group Managers), network closely with Stakeholders in Germany and related teams in Germany and India
  • Manage executive schedule, plan and coordinate customer and stakeholder visits (may also include travel arrangements for senior managers and Expense Reports), greet and assist visitors
  • Write minutes, prepare reports, presentations and data, as well as maintaining files, records, and international correspondence for meetings
  • Join the local Assistants-Team to network and support the local administrative processes Qualifications
Basic Qualifications:
  • Education: BA in business administration
  • Experience: 2 years experience as an Administrative assistant or Executive assistant
Preferred Qualifications:
  • Language-Skills: outstanding verbal and written communication skills in English and German
  • Proficient in MS Office and next generation Workplaces (Sharepoint, OneNote, etc.)
  • Pro-active, independent, exceptional time-management and organizational skills, detail oriented, efficient, dependable, trustworthy
  • Team-player, who enjoys working with a very diverse and multi-disciplinary team and has a high level of customer-service orientation
