Job Description

The Administrative Assistant/Bookkeeper will efficiently manage a variety of administrative duties for a not for profit firm. The ideal candidate must have strong experience with Excel and QuickBooks. A positive attitude and great communication skills are a must as well!

Key Responsibilities

  • General bookkeeping using QuickBooks.
  • Answering phones and directing calls as required
  • Maintaining Electronic filing system
  • Making copies, filing, faxing, scanning, and organizing documents
  • Keeping the kitchen and common areas clean and neat
  • Assisting the Executive and Corporate Administrators as needed

Required Skills and Experience

  • 2+ years of administrative support experience
  • Experience with MS Office Suite, including Excel
  • Experience with QuickBooks

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing and general cleaning is required. This would require the ability to lift files and cleaning tools, open filing cabinets, and bend, stretch, or stand as necessary.

Position Type and Expected Hours of Work (Subject to change)

Days and hours of work depend on part-time or full-time status, but are generally Monday to Friday, between the hours of 8:30 am-5:00pm; Saturday between the hours of 8:30 a.m. to 1:00 p.m.


No travel is expected for this position.

Required Education and Experience

  • High school diploma or equivalent.
  • Solid understanding of bookkeeping principles.
  • A minimum of two years’ bookkeeping experience using QuickBooks.
  • Proficient using a PC in a Windows environment
  • Intermediate experience with the Microsoft Office Suite: Outlook, Word & Excel.

Preferred Education and Experience

  • Associate’s degree.
  • Willingness to obtain an AIPB (American Institute of Professional Bookkeepers), NACPB (National Certification of Certified Public Bookkeepers) or similar certification.
  • Three to four years of related experience using QuickBooks or equivalent.
  • Two or more years of administrative experience.
