The primary purpose of this job is to support maintenance administrative duties and front desk operations. The function of this role focuses on internal and external customer service, site security and creating a positive experience for all site visitors and employees. This position is required to support, implement, and maintain food safety practices as required through SQF. Will be responsible for completing job duties in a manner that supports all plant safety, food safety, quality, and environmental practices.
Present a professional and helpful image to all visitors and employees while managing plant visitors, tours and corporate communication events.
Supporting our leadership team with employee communications and events. This includes managing our internal MARLIN communication system, and maintaining some PowerPoint communications.
Responsible for working directly with our maintenance teams to manage and schedule meetings, track licensure details, training and travel arrangements.
Serve as a backup for PO entry and forklift processing
Act as a resource for visitors and employees on whom to contact for services.
Answer and direct all calls that come through the switchboard. Use PA system for paging employees.
Assist and insure compliance with issuing security badges for employees and contractors.
Manage different employee and site-focused programs including discounted tickets, hospitality, reward and recognition meals, vendor database and contractor training.
Manage and act as a resource for office supply ordering, while meeting budget requirements.
Manage expenses to meet specific program expectations while tracking submitting expenses.
Other duties as assigned
Education: High school diploma or high school equivalency required. Post high school training in office skills and/or public relations preferred. Knowledge of office operations and procedures.
Experience: 4 years office experience required. Administrative experience required.
Skills: Ability to multi-task. Ability to work with others in a team environment; Microsoft office computer skills required; strong communication skills; ability to work with confidential records; ability to deal with the public.
Physical requirements: Requires lifting of up to 50 pounds.
Other: Must be able to read, write, and communicate in the English language.
Internal - Contact with all employees at every level.
External - Contact with visiting sales personnel, auditors, job applicants, and incoming phone calls.
Must set priorities and prioritize work when necessary.
Must have excellent communication skills
Work Structure: Works under the supervision of the Maintenance Manager while still be being able to manage requests from other departments.
Responsibilities: Responsible for accurate and timely completion of various projects assigned, maintaining a good company image.
