The Executive Assistant II will perform advanced administrative duties for the Senior Vice President, CRM and Layered Applications and Chief Information Officer (CIO) Executive Leadership Team (ELT) members and other assigned Senior Management. Manage schedule, arrange appointments, travel, meetings, conference calls, etc. Work requires some analysis and use of initiative and independent judgment. Remain knowledgeable of corporate policy. Ability to work independently to promote the ELT’s initiatives requiring the ability to exercise independent judgment and discretion while maintaining absolute confidentiality. Often called upon to interpret, communicate and have impact on departmental decisions and can speak on behalf of the leader.

Essential Functions:
Researches, assembles, and analyzes information. Types reports, manuals, procedures, policies, agendas, meeting, and minutes. Plans the layout of complex reports, proposals and statistical tables. Proofreads copy for spelling, grammar, and appearance, making appropriate changes. Attention to detail is a priority and critical to the success of this position. Ability to take detailed minutes of meetings as the recording secretary.
Organizes and prioritizes large volumes of confidential and non-routine information and calls. Answers telephone calls and responds to inquiries. Reviews and answers mail and inquiries on own initiative and determines within established guidelines if executive action is required.
Calendar management; research, organize and makes all arrangements for ELT functions and events. Effectively handle all travel for ELT’s, make all reservations, ensures logistics are planned accordingly.
Meeting Planning: including vendor negotiation, coordination of transportation, selecting locations, budget management
Assist with departmental policies and procedures communications, monitor contracts for renewal, tracks projects for letter graded executives
Establishes, develops, maintains and updates the filing system for the ELT.
Disseminates informational mailings and articles. Preparing and editing correspondence, communications, presentations and other team and company-wide messages.
Must be available 24/7 to address concerns after hours, on weekends and have the ability to travel on occasion.
Office management (supplies, facility, vendors)
An ability to develop and maintain positive and effective interactions and working relationships at all levels of the organization, including senior management and global partners

Required Job Skills:
Bachelor’s Degree or 8 year’s minimum experience; Associate’s Degree or 9 year’s relevant experience
5 years’ experience providing senior-level administrative support
Expert knowledge of MS Office products (Word, MS Excel and MS Outlook)
Excellent interpersonal skill – written and verbal communication
Ability to prioritize projects and strong problem solving skills
Maintains attention to detail and accuracy
Research skills and attention to detail
The flexibility and resiliency to work well under pressure, maintain confidentiality, and quickly adapt to rapidly changing needs and priorities
Travel may be required
Travel as needed at the request of the ELT member

Preferred Skills:
Bachelor’s Degree
Specialized skills may be required to support certain functions (ex. Power Point/ other Microsoft Officer Applications)
