The Fire/Emergency Medical Service (EMS) is currently seeking a highly qualified individual to fill a vacant Administrative Aide IV position, grade H19, within the Office of the Fire Chief.
This is highly responsible senior level administrative/secretarial work required to apply a broad knowledge of County government functions. The incumbent will use independent judgment consistent with the complexity and variety of secretarial, administrative and office management functions. Incumbents at this level usually receives general instructions and supervision on assignments; may coordinate a variety of diverse functions/activities and supervise a small group of clerical employees. Work performance is evaluated in terms of accuracy and timely completion of projects and assignments.
This position is designated "Essential" and the incumbent must be willing to participate as a critical/essential employee during emergency situations in the event of a natural or manmade disaster; special activities/events. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
Examples of Work
The incumbent will maintain a broad knowledge of professional standards, operational requirements, and County regulations and procedures; utilizes a broad knowledge and understanding of the various Fire Department organizations, task forces, associations, committees and the chain-of-command; attends meetings with appropriate parties regarding personnel changes, providing recommendations, and maintaining confidentiality in all matters; arranges and schedules all appointments and meetings for the Disciplinary Coordinator; serves as liaison with Deputy Fire Chiefs, Managers and the Office of the Fire Chief, to provide direction and guidance, and ensure compliance with departmental policies and procedures; performs research for development of policies and procedures; exercises supervision with tact, diplomacy, discretion and patience in the coordination of work assignments for administrative staff; completes assignments accurately; proofreads correspondence to ensure proper format; serves as SharePoint Site Administrator; trains department personnel on the use of SharePoint for submission of forms to document libraries for processing; investigates and troubleshoots issues for resolution; creates forms for departmental usage to enter information in the SharePoint sites for processing; serves as liaison with various County agencies for the creation of legislation related to fire safety; and monitors the Legislative Information System site for legislative documents requiring comments/responses by the Office of the Chief.
Applicants must have worked at least nine (9) months in the Administrative Aide III classification with Prince George's County Government; or possess an Associate of Arts degree in Business Administration or Secretarial Science; plus two (2) years of advanced secretarial/administrative experience which involved working with the public, office management, operational details and some supervisory responsibility. An equivalent combination of education and experience will be considered. Applicant must pass a typing examination with a passing score of 40 wpm. CONDITIONS OF EMPLOYMENT: Upon selection, the candidate must:
Pass a thorough background investigation.
Pass a drug test and submit to subsequent random drug test.
Possess and maintain a valid driver's license.
This is an essential position. Essential employees are expected to report during standard or non-standard hours as operations necessitate. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
DURATION OF ELIGIBILITY: Candidates will be selected from a temporary register of eligibles, which will become effective approximately four (4) weeks after the closing date. Once a selection has been made, the register will expire.
