Full-time Patient Coordinator / Pre-tester needed for the area’s largest and most rapidly expanding independent optometric group!

We are currently seeking to add to our team and need a creative and exceptional Patient Coordinator / Pre-tester for our DC location. The Patient Coordinator/Pre-tester works closely with our patients and doctors to provide the highest level of patient care and customer service.

Minimum Qualifications:

  • Provide excellent customer services to patients, potential customers, visitors to the Office
  • Ensure patients/customers feel welcome and comfortable with their visits by correctly handling procedure from the initial telephone contact, through their arrival and treatment at the office, and departure with their next examination appointment scheduled
  • Maintain and maximize the appointment book, reschedule appointments and ensure patient/doctor flow efficiently
  • Ensure a smooth, efficient and timely transfer of authority to and from other areas of designated office, to include pretesting, optical, contact lenses, doctor patient care
  • Maintain a clean and professional area at the front desk at all times
  • Effectively greet in/outgoing patients immediately upon entering/leaving the office
  • Maximize patient flow, by organizing, tracking and communicating with other associates Obtain and verify insurance eligibility for all applicable patients
  • Audit and edit insurance claims for submission
  • Resolving billing and insurance issues
  • Facilitating and rescheduling no shows appointments
  • Communicating the use of the online history form to all patients
  • Enter patient’s demographic and insurance information using software program
  • Attach the proper routing slip and insurance authorization; obtaining a copy of patient’s insurance ID card when applicable
  • Ensure that all yearly exams complete a recall card, record month and year within Computer system
  • Ensure that patient has been made aware of all promotions and offers
  • Immediate notify Manager\Assistant Manager of any “walking Rx’s” and/or appointments
  • Prepare invoices and orders to be submitted
  • Send reports to outside physicians
  • Maintain cleanliness and organized appearance of front desk areas at all times
  • May be required to perform preliminary testing for patients, as needed
  • Develop skills to assist patients in all aspects of optical dispensary
  • Participate in all training opportunities offered by AIE
  • Other duties as assigned by the Office Manager or Designee

Requirements

  • High School degree/GED required. AA or BA/BS in related field is desirable
  • 1-3 years of related experience within a similar office environment desired

Demonstrated success in a retail, office environment addressing a broad spectrum of customer requirements and preferences

  • Demonstrated ability to establish positive patient rapport and build relationships to establish repeat customer-trends
  • Strong communication skills (oral and written) with the proven ability to manage priorities in a fast paced, entrepreneurial environment
  • Ability to multi-task, set priorities and ensure that patient commitments/deadlines are met
  • Proficiency in utilization of automated equipment and systems standard to the optometry industry
