POSITION TITLE: Office Manager- Biller
REPORTS TO: Clinic Manager
Provides efficient, courteous, and friendly phone call management. Graciously greets patients and visitors, instructs new patients in forms that need to be completed prior to initial evaluation and treatment, verifies insurance, collects co-pays, enters new patient data into billing software system, enters patient charges into billing software, sets up patient files, audits files for completeness, sends out appropriate documentation for physician signature, files all returning patient related information to the correct files, closes patient medical files when complete, and assists therapists as needed in the clinic. Also responsible for ensuring an adequate supply of clean laundry is available to the therapists, inspects area safety and cleanliness, and completes other duties as assigned by the Clinic Administrator/Director.

Responds promptly, courteously, and efficiently to all incoming phone calls, and processes them in a business-like manner.
Takes messages accurately and posts them or conveys them directly to the recipient or via their voice mail pagers.
Receives patients and visitors graciously and makes contact with appropriate persons.
Provides correct paperwork to new patients and explains all information required prior to initial evaluation or treatment.
Makes copies of insurance cards, both front and back for all clinic patients.
Notifies appropriate staff of the arrival of their patient.
Enters information correctly as trained into the billing software system. Accesses the system for scheduling of new and current patients as appropriate.
Sets up new patient medical files according to established policy.
Audits and tracks all information that belongs in patient medical files. (i.e., plans of care that are mailed to physicians for signature) Ensures all files are complete prior to closing files as per policy.
Verifies each patient’s insurance coverage.
Collects co-pays from patients as appropriate.
Ensures adequate supply of forms, clean linens, janitorial supplies, paper supplies, etc., are available for staff and patient needs.
Is responsible for the receiving and distributing of mail and packages.
Completes monthly health and safety checklists, daily temperature checks on appropriate machines, and any other safety or health requirements by the Clinic Administrator/Director.
Responsible for the clean and safe maintenance of the clinic.
Participates in training sessions and in meetings called by the Clinic Administrator as appropriate.
Exhibits courtesy, compassion and respect to patients, families, visitors, physicians, therapists, and co-workers.
Maintains confidentiality of all patient and clinic information.
Does not release any medical information without the proper forms completed and checks with supervisor prior to release of any information patient and clinic related.
May assist in direct therapy service provision by carrying out delegated, selected, skilled tasks under the supervision of the therapist.
Performs other related duties as assigned.
