Scope of Work: Plumbing Company Administrative Assistant
Objective: The Plumbing Admin is responsible for efficiently managing the scheduling and coordination of plumbing jobs to optimize workforce productivity, ensure timely service delivery, and enhance customer satisfaction.
**1 **Customer Service :
◦ Handle inbound calls and emails, responding to customer inquiries, complaints, and service requests.
◦ Confirm service appointments with clients and provide them with appointment reminders.
◦ Keep clients informed of any schedule changes, delays, or updates regarding their service.-update appfolio
◦ Provide excellent customer service, ensuring client satisfaction and retention.
◦ Review - implementation -email + text -call
**2 **Compliance and Safety:
◦ Implement safety policies
**3 **Technology and Systems Management:
◦ Maintain and update company databases and records, ensuring data accuracy
**4 **Job Scheduling and Coordination:
◦ Schedule and prioritize plumbing jobs based on urgency, technician availability, and client location.Assign jobs to the appropriate technicians ensuring they have the necessary skills and resources for each task.
◦ Manage day-to-day office operations, ensuring a smooth and efficient workflow-Monitor job progress and manage any rescheduling needs due to emergencies or delays.Coordinate with technicians to handle last-minute cancellations, reassignments, or urgent service requests.
◦ Update appfolio for completed-jobs,quotes ,invoices
◦ Oversee tech calls throughout the day to ensure calls ,quotes ,pictures, notes are created by them
◦ Forward quotes to property management accordingly
◦ Follow up on quotes
**5 **Resource Allocation:
◦ Order special parts-materials for techs - follow up on arrival time and schedule accordingly with customer
**6 **Billing and Invoicing:
◦ Prepare, send, and track invoices for completed jobs.
**7 **Reporting and Documentation:
◦ Document any schedule changes, customer feedback, or service issues for future reference and process improvement.
**8 **Coordination with Other Departments:
◦ Work closely with office staff, customer service representatives, and management to ensure seamless communication and operation.
Job Type: Full-time
Pay: $16.00 - $24.00 per hour
Expected hours: 40 per week
