This is a temporary appointment that is not part of the state classified personnel system. This appointment is for nine (9) months or less per state rule and is open to candidates located outside of the state.
Description of Job
Position exists to provide support to management and staff within the Office of Community Living (OCL) by coordinating key administrative functions to ensure the efficient and effective day to day operations of the office. Position provides assistance and support in the areas of budget, accounting, purchasing, records management, and document preparation and assists the division and management in the development and implementation of business processes related to the compliance of Department administrative policies and procedures. Position provides scheduling and coordinates logistics for OCL leadership as well as other meetings as needed. Position also handles telephone reception; photocopying; word processing; data entry; preparation of presentation material; web publishing; maintaining office procedures; and responding to telephone and written inquiries from State agencies, clients, providers, and the public.
This position works with the their supervisor to ensure the efficient and effective administrative and technical day-to-day operations. Position is responsible for managing, securing, and preparing materials including announcements, agenda, confidential reports, minutes, and PowerPoint presentations. Position maintains documents, files, and databases using MS Office, SharePoint and other state systems.
Position handles all meeting logistics including room reservation and set-up, audio/visual conferencing needs, and documents, such as email, hard copy, and verbal. Position assists with additional OCL projects, effectively communicating issues or barriers for timely completion to the appropriate stakeholders. Position acts as a liaison with other departments to coordinate and resolve problems related to internal and external administrative matters.

Education and Experience:
Three years of general clerical experience which must have included making decisions with limited information and proofreading. At least one (1) year must have been high level administrative experience utilizing Microsoft Word, Excel, PowerPoint, and Outlook AND one (1) year of experience providing customer service to both internal and external customers in a business/office setting.
At the agency's discretion, college or university course work, appropriate to the work assignment, may substitute for the experience on a year-for-year basis.
