The Permanente Federation is the national support organization for the more than 20,000 physicians of the Permanente Medical Groups. The Kaiser Permanente Care Management Institute (CMI) improves the quality of care for Kaiser Permanente members and patients through the study, analysis and spread of evidence based clinical best practices and knowledge resources. The HR Coordinator will serve as a key tier-one resource for the Permanente Federation, Human Resources team. As the HR Coordinator, you will serve as the first line of support to the business, including our teams, hiring managers and employees. Our team works across departments and geographies, as well The Permanente Medical Groups and KFHP with the goal of providing efficient and seamless support. This role will be a key contributor to creating and improving processes that support efficiency and scalability.

Essential Responsibilities:
Act as a first point of contact for service to employees and respond to general inquiries
Provides administrative support to the Director of HR, including but not limited to: scheduling, calendar management, travel arrangements, and expense reporting.
Provide general support to HR team members in onboarding, off boarding, recruitment, benefits, and compliance
Analyze, track and interpret data creating reports, spreadsheets and presentations needed to support operational decision making (i.e. HR dashboard, org charts, service awards)
Prepares departmental invoices. Coordinates with internal teams or external vendors to ensure appropriate processing of invoices.
Provides onsite logistical support for meetings and conferences
Produces, edits, proofreads and disseminates professional level general correspondence
Provides drafts, edits and formats PowerPoint presentations and prepares meetings materials
Organizes and maintains documents on departmental shared-drives, confidential personnel files, Wiki, Box or SharePoint.
Proactively identify areas that need process improvement, streamlining or automation to enhance HR operations and service to our employees and other stakeholders
Maintain an understanding of the business and operations of our Permanente Medical Groups, Kaiser Foundation Hospital/Health Plans and other entities within the Kaiser Permanente
Strong sense of commitment to the Permanente Federation-s mission and values
Participate in other projects or duties as assigned, including back-up support to other team members.
