As a Front Desk First Impression Specialist you will provide a high level of customer service, in a professional, efficient, and timely manner to all internal and external customers. You will greet DHS guests, answer questions and respond to informational requests from the general public, special interest groups, governmental agencies, clients to human service programs, and from other related human services’ agencies. The Front Desk First Impression Specialist will also keep up to date directory records, operate a building visitor registration system, manage a computerized data base inquiry system, and assist callers and walk-in visitors anyway they can to help them address their needs.

Responsibilities
Answer the Department of Human Services (DHS) Information Desk calls from staff and customers so they are assisted in a professional, efficient, and timely manner
Schedule and supply conference rooms for meetings held by external and internal staff
Update employee and reference data bases consisting of frequently called departmental offices, Minnesota county agencies, directory information, and emergency numbers
Maintenance and Technical Support for 125 rooms
Sort and distribute Management Services Division Mail and deliver bins of mail to multiple buildings

Qualifications

Minimum Qualifications
Customer Services skill sufficient to provide prompt, courteous and accurate information to customers in person, on the phone and through e-mail and other written correspondence.
Data Entry skills sufficient to input data quickly and accurately.
Database Management skills sufficient to create and update databases.
Spreadsheets skills sufficient to create and update spreadsheets.
Typing/Keyboarding skills sufficient to accurately type information into various formats.
Word processing skills sufficient to type correspondence, reports and other written material.
Must have a valid driver’s license.
Physical Requirements
Physical Demands require the ability to lift and move items up to 20 pounds.

Meeting room preparation that may include:
Setting up tables
Ability to crawl under work surfaces to trouble shoot Audio Video equipment

Preferred Qualifications
Experience working in a call center or as a receptionist.
Strong computer skills.
