Position Overview
The Proposal Development Specialist position collaborates with sales managers and account teams to develop a full RFP plan that focuses on win themes, sales strategy, and how best to present Encore to the client. This position coordinates and produces the proposal (RFI, RFP etc.) response while coordinating and assembling deliverables from multiple departments to ensure that all pieces of the proposal come together in a timely fashion. Responsibilities include introduction and implementation of all necessary proposal procedures and processes. This is a highly networked role that requires the ability to work under pressure, communicate with multiple departments, and adhere to strict deadlines. This position reports to the Director, Integrated Marketing & Proposals.
Key Job Responsibilities
Proposal Development
- Manage the RFP response process for positioning Encore in a successful manner through customer facing proposals.
- Create customer-facing outputs that illustrate a compelling value story for customers that utilize best practice responses and competitive strengths.
- Coordinate RFP responses, which includes reviewing and analyzing RFPs, collaborating with key sales and account managers on specific sales strategies and positioning for successful customer negotiation and/or renewal agreement.
- Proposal development includes assigning tasks and timelines to a variety of departments, monitoring and managing tasks and timelines, validating data with subject matter specialists, and compiling all information into a proposal format to meet RFP requirements and Encore standards.
- Ensure the quality of the proposals with respect to grammar, formatting and imagery.
- Assemble documents that utilize various formats including textual, digital graphics, web, and video to position Encore for success.
Proposal Tools and Data Management
- Utilize a content database that houses a variety of proposal development collateral. Assist with continual updates of content database for shared access with the Proposal Team.
- Use CRM to keep track of proposal success rate and revenue capture, as well as gather event information for proposal creation.
- Develop and manage Proposal Completion Plans using internal project management software.
Sales Strategy Development
- Ability to coach sales teams in persuasive writing and proposal best practice.
- Partner with sales managers and account specialists to help maintain a high standard during the bidding process.
- Focus on understanding the customer, their past experiences, and their current needs in order to tailor a custom narrative in each proposal presented.
- Strive to explain each solution presented and how it will meet the needs of the customer.
Template Standards Management
- Administer company adopted proposal standards utilizing a proposal template and other company-wide collateral.
Job Qualifications
- Bachelor’s Degree in Sales, Marketing, Communication, or Business Administration preferred
- 3-5 years of Sales and Marketing experience
- Experience planning, producing and delivering customer facing documents within a complex business environment.
- Event and meeting industry-related experience preferred
- Advanced skills in MS Office (Word, Excel, And PowerPoint), CRM platform / content management (database)
- Ability to easily learn a variety of computer software
- Excellent communication skills – both oral and written
- Strong time management / prioritization skills

Work Environment
Office
Work is performed primarily in an office environment. Working times may include irregular hours and on-call status including days, evenings, weekends and holidays. Team members must adhere to appearance guidelines as defined by Encore based in an office environment and when traveling, on an individual venue or a representation of venues in that city or area.
