Essential Functions:
  • Support project executives on large complex projects and assignments.
  • Proactively manage project-related issues on account or assignment.
  • Develop scope and schedule for assigned projects.
  • Manage both the design and construction scopes required for Client projects.
  • Conduct and document all weekly meetings.
Coordinate and track all Vendor RFP’s. Maintain accurate and consistent electronic files and documentation. Coordinate activities of Contractor work execution within Client facilities as required or the completion of project work. Interact and negotiate with contractors and subcontractors Prepare/update project status reports, process purchase orders and invoices, update tracking reports and maintain files for due diligence and financials. Demonstrate a proactive focus on meeting client and project requirements in a timely and cost effective manner. Demonstrate proficiency in the use and application of all PDS technology as required for assigned projects. Ensure accurate management of all accounts receivables to maintain a level not to exceed planned working capital charge as set by corporate finance, account finance team and/or the Regional Operations Manager. Establish and maintain project goals and success criteria the meets the client needs. Ability to regularly communicate analyzed data to client and team to achieve project goals Build rapport with client representatives and ensure scope of project and outside business forces affecting the project is fully understood and that specific deliverables are fully understood with performance standards and other relevant criteria. Coordinate any necessary due diligence efforts on behalf of the client, maintaining and delivering all appropriate documentation. Guide the client and team through the design implementation process including conceptual, schematic, design development and construction documentation and signoff. Develop and maintain the Master Project Schedule. Prepare various RFP’s needed for vendor and contractor services for the complete project. Ability to successfully communicate with architects, contractors, client’s representatives, and team members. Facilitate a project kick-off meeting with internal staff and key stakeholders to ensure responsibilities are communicated and understood by all concerned. Actively track each aspect of project performance against schedules and critical path. Oversee vendor work to ensure compliance with contract and client expectations. Comply with all Jones Lang LaSalle policies and procedures, including but not limited to ethics and business practice. Required Knowledge, Skills and Abilities (KSA) Ability to prepare and track budgets Understanding of technical requirements for a business relocation Familiarity with architectural drawings and furniture and space planning concepts a plus Flexibility with work hours and travel as needed 2-3 years of practical experience in a project administration / accounting position required 10 plus years’ experience in the construction industry preferred Experience in construction management or real estate preferred Highly organized with strong analytical skills Strong interpersonal skills with an ability to interact with executive level external and internal clients Organizational skills with the ability to identify and manage priorities Excellent written and verbal communication skills Detail oriented Ability to multi-task and work both in a team and independently Proficiency with Microsoft Office Suite Minimum Required Education: Associate or Bachelor Degree from an accredited institution in Accounting, Business, Architecture, Engineering, or Construction Management strongly preferred #LI JLL Is an Equal Opportunity Employer JLL is committed to developing and maintaining a diverse workforce.
