Performs accurate and timely worker’s compensation premium audits in the field and/or telephonically, via the internet (MyPayroll), or mail-form to secure information to determine exposures and calculate the final premium for the policyholders. Field work includes meeting with business clients and accountants at their places of business or another location to examine, verify, and record data from various financial records. Telephone audit work is similar in nature except the audit is performed over the telephone and through email/fax.
What You Will Be Doing
Plans and conducts record and interview audits for policyholders at their place of business or another location to determine current premium base by securing adequate records, discovering all exposures that need to be covered, and developing proper basis of premium in accordance with MWCIA, NCCI, WCRB, state-applicable rules contract requirements, and Company best practices. Internal Premium Audits will be performed be via the internet (MyPayroll), mail-form or by telephone premium audits as assigned based on Plan requirements. This includes:
Analyzing the policyholder’s financial reconciliations to ensure a match;
Comparing the policyholder’s payroll records with the estimated or actual payroll reported and adjust and calculate the premium accordingly;
Determining and reconciling the appropriate job classification codes for the policyholder’s employees by questioning the policyholder, and reviewing records and determine if the class code as reported by the policyholder is correct, and adjust and calculate the premium accordingly;
Determining the scope of operations by reviewing contracts between the policyholder and other entities and applying IRS documents and workers’ compensation statutes and rules to determine whether a true independent contractor relationship exists.
Summarizes all exposure information in accordance with policy contract, terms, MWCIA, MWCARP, NCCI, WCRB requirements, state-applicable rules, and Company best practices. Communicates audit results to the policyholder and reconciles any differences. Conveys physical, financial and other pertinent information gained or determined by analysis of the policyholder’s operations and financial structure to agents, policyholders services, and other team members. Conveys pertinent information gained or determined by analysis of the policyholder’s records to agents, marketing underwriters, and other team members.
Manages workload and schedule of weekly activities to ensure audits are completed in a timely and accurate fashion meeting all deadlines. Regularly interacts with team members, policyholders and agents to achieve individual and team goals.
Schedule appointments and travels to meet with clients at their place of business or another location, when needed, to examine financial records such as payroll registers, quarterly 941’s/SUTA’s, general ledger, sales ledger, etc. to determine the correct premium base
Provides professional and technical explanations to policyholders and agents concerning proper classifications as to the policyholder’s operations. Recommends proper account procedures when appropriate to policyholders when changes are necessary.
Handles the dispute process according to contract requirements and Company best practices, working with the policyholder, agent, and any other entity as needed. .
Processes audits to determine current premium base by entering audit results in the database.
Takes advantage of learning opportunities to develop, update and expand skills, knowledge and abilities and applies learning. Keeps apprised of current audit rules and regulations and company best practices.
Provides high quality customer service to agents and policyholders by professionally receiving and appropriately responding to telephone inquiries related to premium billing and premium audits. Maintains appropriate interactions with persons both within the organization and externally.
Leads by example showing professionalism to internal and external customers. Professionally works with other team members to best serve all customers. This includes, but is not limited to, covering for other team members when they are absent, being respectful of others, and the ability to successfully resolve conflict. Constructively works with team members and others in the Company when service and business improvement opportunities are identified. Shares thoughts and ideas in team meetings and pushes team members to perform at a high level. Maintains appropriate interactions with persons both within the organization and externally.
Completes reports, activity logs, expense reports, and other required documentation in an accurate and readable form and on a timely basis.
May assist with audits in other areas of the company, as needed.
What We'll Love About You
Bachelor’s degree with emphasis on accounting, finance, insurance, or related field preferred.
One or more years of experience reviewing and processing insurance premium audits in a workers’ compensation insurance environment, preferred.
Knowledge of MWCIA, NCCI, WCRB and state applicable workers’ compensation rules is a plus.
Good math skills and strong knowledge of accounting practices.
Highly organized with strong attention to detail.
Strong customer service, presentation, and negotiation skills.
Excellent time management skills and is able to work well within a team or individually.
Ability to comprehend and interpret policies, procedures, laws, regulations and guidelines.
Strong verbal and written communication skills and ability to interact with a variety of people.
Sound independent judgment and decision-making skills.
A high degree of personal integrity.
Proficient in MS Office software applications (Excel, Word, etc.).
Must have a valid driver’s license, acceptable driving history and access to reliable transportation. Ability to work a variable schedule, as business necessitates, with occasional overnight stays.
Regular attendance is required. Work takes place in a semi paperless environment within an office setting, using standard office equipment such as computers, phones, and photocopiers, which requires being stationary for extended periods of time. While performing the duties of this job, the employee is regularly required to talk or hear, and maintain concentration and focus. The employee frequently is required to stand; walk; use hands and fingers, handle or feel; and reach with hands and arms and work with close vision. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds. Work is performed indoors with little to no exposure to extreme outdoor weather conditions. Travel as needed.
