The Coordinator responsibilities will include handling a busy desk, managing day-to-day administrative and scheduling functions, and serve as office liaison communicating with internal NBCU divisions. This position will support the Senior Vice President of Program Planning & Scheduling and the SVP of Multiplatform Research, NBC Entertainment.
General administrative duties including, arranging drive-ons, copying and faxing, filing, office management as well as:
phone support for all executives– take and relay messages in a timely manner
manage and coordinate complex and changing calendars, including scheduling all meetings, proactive conflict resolution and timely communication with executive on status of key meetings which require prep
Coordinate/confirm internal and external meetings over multiple time zones including associated resources
Manage all travel arrangements and trip tracking/oversight as well as all related expense management and ensure travel info is current and complete on SVP’s calendar
Must exercise a high level of discretion in handling confidential and sensitive information
Be a trusted and invested partner in the executive and the department’s success
Weekly hard-copy distribution of NBC and competitive grids to department heads
Weekly electronic distribution of airdate schedules to Program Executives, Scheduling, Marketing and Publicity
Update Late Night and Daytime Programming episodic information on as needed
Create weekly Key Competitive report and maintain a general awareness of industry trends and competitive environment, including the Cross-Platform Programming Council Calendar
Learn and master in house scheduling systems; Input information and generate reports from the in house systems as requested
Minimum 1-2 years relevant work experience
Proficiency in Microsoft Office including Excel, Word, PowerPoint, and Outlook

Must be passionate about television and a career in the industry
Previous work experience at a studio, network, digital publisher or agency, especially in Scheduling, Research, Programming or Operations
Professional, poised assistant with 1-2 years of support experience executives within large, corporate environments including mastery of calendar, travel, and buying tools
Knowledge of the Network, Cable and Digital TV landscape
Understanding of Nielsen Ratings and other viewing measurement and analysis
Excellent written and verbal communication skills
Flexible, personable, self-starter, proactive problem solver, extremely detail-oriented and organized with the ability to interface with all levels of NBCU staff.
Ability to work well with others and collaborate across the organization to achieve goals. Approachable, but also assertive.
Ability to work well in a fast paced, deadline driven environment with changing priorities.
Multi-task oriented, strong organizational process and time management skills
Understand and intuitively anticipate needs for the executive with minimal supervision
