Job Description
Internal MSP5 Associates only.

The Operations Administrative Assistant role provides support to the Operations team and requires ability to work on the sort center floor for up to ten hours per shift. Tasks include:

  • Clear flags in MyTime and assess attendance point and UPT for associates for unexcused absences.
  • Ensure proper coding of “time paid not work” and “time not paid, not worked” such as Vacation (vacp)/Paid Personal Time (pers)/Voluntary Time-off (vto)/Lack of Work (low) for Amazon associates.
  • Make points and UPT corrections for Amazon associates as directed by AM, Ops Mgr or HR.
  • Identify, track and reconcile missing: in, out and lunch punches
  • With manager approval, clearing discrepancies associated with Time Off Task flags.
  • Enter punches and schedules for orientation time for agency new starts.
  • Input and upload corrective action documentation into Amazon AMP and OnBase system. Follow up with managers on deliver if necessary
  • Research associates counseling history as needed to confirm correct level for next counseling, dates of prior counselings, etc. or provide summary of performance history for manager to use in making a recommendation for termination. – focused on Amazon associates.
  • Submit counselings for both Amazonians and agency associates (including tracking approval and printing for managers to deliver for Amazonians).
  • Print Amazon attendance counselings sent out by HR and organize with other counselings that need delivering so managers have one complete set of what they need to deliver.
  • Print/post rates throughout shift for all associates on set schedule.
  • Answer questions for Amazon associates on policies/procedures/UPT/points/vac/pers balances as required. Help escalate discrepancies to HRC and associate manager to resolve.
Daily Tracking:
Attendance: Hours worked, Unpaid Time (Negative and Balance), Points
Voluntary Time Off (VTO)- ensure tickets and schedules are properly changed. Follow up with management if necessary. Partner with ERC and MyTime team for resolution.
Voluntary Extended Time (VET)- ensure tickets and schedules are properly changed. Follow up with management if necessary. Partner with ERC and MyTime team for resolution.
Flex Up/Down- ensure tickets and schedules are properly changed. Follow up with management if necessary. Partner with ERC and MyTime team for resolution.
Leave of Absence (LOA)- Personal LOA, Medical LOA, Workers compensation. In partnership with safety, workers compensation, MyLeave, site HR and associates’ manager process LOA, track and coordinate with associate.
Accommodation- For school accommodations, provide, review, and document school accommodations, notify management, associate and update systems and needed. Coordinate with associate as needed.
Voice of Associate (VOA)- track and update VOA within SharePoint site
Conduct GEMBA walks
Properly track gift cards, swag and other associate related rewards within SharePointe site, complete Loss Prevention removal
Manage, associate related engagement activities to include but not limited to birthday roundtables, building performance incentives, monthly and weekly activities.
Monitor and update Acid feed based on the weekly activities
Manage communications boards to include but not limited to HR Updates, Ambassadors, Manager board, iTeam open positions, HR ERC and HUB communications.
Conduct “Call Em Alls” as needed and manual sign-up sheets for voluntary extra time as the business calls for the need.
Manage New Hire Orientation- coordinate with learning and operations to conduct new hire orientations.
Manage the internal transfer process for Tier 1 associates within the site and other associates coming from other sites.
Manage the intake process for employee related inquiries (complaints, witness statements) by partnering with management to assess situation, obtain witnesses and complete witness statements as needed.
As necessary – help managers run/track production reports, update operations reports as needed, work on projects for creating reports, etc.
Additional Tasks, as needed.

Basic Qualifications
High School diploma or GED equivalent. Assaociates Degree in business, human resources preferred.
Minimum of 2 years of HR Generalist experience
Must have administrative experience such as data entry, managing data driven report processes or detailed processes that have a lot of components to manage within a manufacturing or production environment.
Must have demonstrated experience with the following systems- MyTime, OnBase, ICIMS, HireRight, SalesForce, PeoplePortal, FCLM, Labor Scheduler, AMP tool, Ticketing
Must have the ability to multi task and manage details of different processes efficiently.
Must be detailed oriented and automatically deep dive into a variety of inquiries.
Must have proficient skills in Microsoft Office Suite, specifically word, excel and powerpoint
Must have excellent customer service skills and ability to provide support to many different levels of the organization.
Must demonstrate a continuous improvement mindset to invent and simply
Must have strong organizational skills.
Must have strong oral and written communication skills
Must be able to work independently, seek answers when help is needed and motivated to seek out additional tasks for completion.
Must adhere to confidentiality expectations
Ability to work up to ten hour shifts
Ability to work during the day or night shifts
