FORMA Construction Company, a general contractor located in the SODO district, is actively seeking a highly competent and motivated individual looking for a challenge and opportunity as our Receptionist/Office Administrator. This position will work with all members of our Seattle location, as well as interact with our Headquarters in Olympia. You will greet and assist employees, clients, vendors, and guests. You must be driven and have a great work ethic and positive attitude.

PRIMARY FUNCTION

The Office Administrator has the responsibility of ensuring that the administrative activities within FORMA’s Seattle office run efficiently, by providing structure to other employees throughout the workplace. These activities can range from being responsible for employee tracking, management of office supplies and budget, and document management.

RESPONSIBILITITES

Customer receiving, servicing, and visitor restriction

Project a professional, positive, courteous and friendly attitude

Maintain professional appearance

Assist Headquarters in call routing and accurate message taking

Coordinate Employee Check In/Check Out During Day

USPS/UPS/Fed Ex/Etc.: Collect, open and distribute incoming and prepare outgoing

Misc. errands

Inventory, order, and job cost supplies

Maintain office equipment

Misc. tasks as delegated

Maintain front desk area, conference rooms, and kitchen area

Setup for Meeting Rooms

Participate to On and Offsite Company Event Planning

Coordination of Staff Travel

Notarize Contractual and Process Documents, as required

Interfacing with Seattle Office Building Manager for maintenance and schedule changes

Managing Key Cards and Access for employees
