The ICCOC Coordinator is responsible for providing professional administrative assistance to the Director of the Iowa Community College Online Consortium and occasional support for other ICCOC staff when needed. Coordinates and documents office services such as communication, purchasing, finance, records control and general office duties. Exercises independent judgment in the resolution of administrative problems. Assists with ICCOC billing, survey collection, conference and meeting setup and answers student, faculty and staff questions from partner colleges.
This position is a full-time Professional Services position (262-day contract). Starting salary for the position is $40,000 annually. Benefits include single ($1000 deductible) medical, dental & vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid spring and holiday breaks, 15 days vacation and participation in IPERS or TIAA-CREF retirement plan. This position is physically located on Southeastern Community College’s West Burlington campus.
The term of employment is as per the employment contract, and relevant policies of the Board of Trustees and SCC.
The funding for this position is provided by Iowa Community College Online Consortium. Position is subject to the sustained enrollment of the Consortium and annual budgeting.
Participation may be required to assist with grant writing to fund the position and to support the Consortium.

Essential Duties Summary
Responsibilities include but are not limited to:
A. Coordinates and implements office activities such as purchase and payment requests, meeting arrangements, travel and facility arrangements, records management, and budget accounting operations.
B. Assist with ICCOC Conference hotel accommodations and catering needs. Communicate registration information with college Distance Learning Deans/Directors.
C. Analyzes operating practices such as record keeping systems, forms control, general communication, creating new systems or revising established procedures.
D. Assists with final stage of ICCOC and Digital Content billing to ensure accuracy and alerts Director of possible errors. Prepares final copies to be sent to partner colleges.
E. Prepare Payment Request forms for vendor invoices. Scan and save PR as PDF file to send to ICCOC Director for signature.
F. Process all reimbursement requests from ICCOC and partner college employees for appropriate expenditures – (mileage, lodging, meals, etc.)
G. Coordinates collection and preparation of financial and operations reports. Works extensively with Fiscal Agent Business Office during end-of-fiscal year tasks.
H. Keeps an archive of past ICCOC information, both online and in hard-copy form, to assist in any auditing or other requests from partner schools.
I. Assist with End-of-Term and End-of-Course surveys for each term.
J. Takes and prepares minutes and provides meeting summaries on a regular basis for all ICCOC Staff and Oversight meetings.
K. Arrange meeting site, lodging and catering for Staff, DL and CAO face-to-face meetings and various special events.
L. Operates personal computer to access e-mail, electronic calendars, and other basic office support software.
M. Uses various software applications, such as Microsoft Word, Excel, Outlook, Publisher, Google Drive and email, and Internet to format and clearly communicate various data and information.
N. Uses software applications for various reporting and to provide basic customer service.
O. Provides friendly, courteous service to all customers – students, instructors, staff, administrators, vendors, etc.
P. Works well independently and also in a team environment.
Q. Helps keep staff on track and organized by sending reminders and offering assistance for various recurring events.
R. Other duties as assigned
SCOPE OF RESPONSIBILITY:
Reports directly to the ICCOC Executive Director and has significant interaction with staff, instructors, and administrators. Knows the formal and informal consortium goals, standards, policies and procedures which will include some familiarity of partner colleges, various personnel at partner colleges, and the history and mission of the Iowa Community College Online Consortium. Is sensitive to the interrelationship of both people and functions across the consortium.
EXPERIENCE AND EDUCATION
A. Required: High School Diploma or GED
B. Preferred: Associate degree
C. Three years of related experience required.
D. Experience in bookkeeping and financial records preferred.
E. Familiar with online learning environments.
F. Additional education may be substituted for years of work experience.
