Title Administrative Assistant
Under limited supervision, performs a variety of routine to complex duties to include: the timely and accurate ordering and review of Preliminary Title Reports policies and endorsements for all real estate loans to ensure loans are in the appropriate lien position.
Essential Duties and Responsibilities
Complies with and stays abreast of all policies and procedures, federal and state laws applicable to the job
Incumbent opens all incoming orders with our pre-selected preferred title vendors submitted by Bank associates to obtain Preliminary Title Reports.
Obtains title vendor invoices, reviews, reconciles amounts due and payable and approves for payment within the prescribed time frames upon confirmation of recording.
Reviews preliminary title reports and recommends changes or recommends going forward to help facilitate a smooth transaction as well as establish proper priority of our loans.
Recommends title endorsements for all anticipated incoming title policies.
Reviews title policies and requests corrections as necessary as submitted by Bank associates.
Interface with loan documentation specialists, Credit Management Department and Relationship Managers in a positive and non-threatening manner (professional manner) to ensure all necessary documents are received for closing, proper approvals are obtained and all deadlines are met.
Tracks multiple issues and problems and manages a constantly changing work environment while remaining compliant and providing the Citizens Experience customer service.
Follows up on all title deficiencies and items on monthly pending log being proactive in escalating potential gaps, problems in service and is proactive in changing priorities
Reconciles required Fees/Costs payable account on a daily/weekly and or monthly basis as needed.Resolves discrepancies immediately to be as transparent as possible to the customer
Process research requests upon receipt and resolves them in a timely manner.
Provide, present and promote The Citizens Experience to all external and internal customers.

Education and/or Experience
Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Good working knowledge of Word and Excel
