UW Medicine Human Resources has an outstanding full time opportunity for a Training Lead.

UW Medicine (UWM) is currently in the process of consolidating activities across two of its major entities: (1) Northwest Hospital (NWH) will become a second campus of the University of Washington Medical Center (UWMC) and (2) UW Physicians (UWP) staff will become part of the UW School of Medicine.

This position will be responsible for coordinating the planning and execution of training activities for the HR & Labor workstream to support the NWH/UWP Integration project. In addition to supporting HR & Labor related training, the Training Lead will work with functional experts across all Integration workstreams to bring an overall project view of training including integrated plans, a master schedule and a cross-workstream view of all training required to support the integration.

This position will support training for three audiences:
The HR & Labor Team (e.g. Recruiters, Employee Relations) – This is a small audience (20-30 people) who will need specific training on HR systems and procedures. The Training Lead will work in partnership with the Change Management Team and Functional Leads to conduct a training needs assessment by role, design the instructional strategy based upon learner-centered principles, plan logistics, and develop training design documents as a roadmap for Functional Leads and Curriculum Developers to develop and deliver training content.

All NWH and UWP staff needing training on HR & Labor systems, processes and policies (e.g. workforce management and timekeeping systems) - This is a much broader audience (~2800 staff and managers). The Training Lead will work in partnership with the Change Management Team, Functional Leads and Trainers to conduct a training needs assessment by role, design the instructional strategy based upon learner-centered principles, plan logistics, and develop training design documents as an input for Functional Leads and trainers to develop and deliver training content.

All UWM/NWH/UWP Integration Workstreams – In addition to the HR & Labor workstream there are 8 other workstreams supporting the Integration (e.g. Operations, Revenue Cycle, Finance/Accounting/Supply chain). The Training Lead will serve as a high-level coordinator role across all workstreams to maintain a master list of all relevant trainings, raise awareness of the various demands on staff for training, prevent conflict of shared resources (rooms, trainers) and help logically sequence training.

The Training Lead will work as an integral part of the Organizational Change team and will interact with stakeholder groups across UW, NWH and UWP. The position will report directly to the Organizational Change Manager and will play a key role in helping staff prepare for changes associated with the integration.

Partner with the Change Management team to perform a training needs assessment and identify training goals for HR & Labor training
Analyze learners and roles for HR & Labor training
Design instructional strategy and curriculum for HR & Labor systems, polices and processes based on learner-centered principles
Develop training design documents as an input for Functional Leads and Curriculum Developers to develop training content and deliver training
Coordinate system and process training within the HR & Labor workstream to support the integration of NWH and UWP staff (Kronos, Workday, UW Hires, New Employee Orientation, etc.)
Coordinate training topics, resources, rooms and schedules across non-HR & Labor workstreams (Revenue Cycle, Operations, Finance & Accounting) to support the integration
Create and maintain a master Training Dashboard to create visibility to training activities across workstreams
Create an Integration Training Community to facilitate communication and planning with training staff across workstreams; Lead meetings at least once per month
Help identify and resolve conflicts with training resources, rooms, and schedules
Inventory existing mechanisms for class registration and web-based training; Support gaps as needed
Partner with existing training staff to align schedules and register staff for training
Provide content for training-related communications to staff
Help recruit and onboard a Training Coordinator to help manage training logistics across workstreams
Manage, support, and coordinate the work of the Training Coordinator

Bachelor's degree and 5 years of experience in instructional design or training program development, including: Assessing learners’ needs; Designing instructional strategy based upon learner-centered principles; Identifying optimal delivery methods for content
1-3 years of experience with training logistics planning (rooms, trainers, registration, timeline, resources)
1-3 years of experience using Learning Management Systems
Demonstrated experience leading teams
Strong writing, editing, and proofreading skills
Demonstrated track record of excellent interpersonal skills and strong customer service orientation
Excellent organizational and planning skills
Ability to clearly articulate messages to a variety of audiences
Flexible and adaptable; able to work in ambiguous situations as well as with multiple competing priorities and resource constraints
Ability to work effectively at all levels in an organization and collaboratively with and through others
Adaptability to work towards deadlines
Proficiency in MS Office tools: Word, Excel, Outlook, Visio, SharePoint

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Experience with formal project management methods and tools
Experience with HR & Payroll systems, concepts and processes
Experience working in a healthcare environment
Sense of humor and willingness to assume best intentions


Location and Hours:
This position will be based onsite at the University of Washington Tower, 4333 Brooklyn Ave NE, Seattle and may travel to Northwest Hospital or other UW Medicine locations as required to support training activities
Position is full time (40 hrs./week)
Hours are standard business hours (between 8:00-5:00)

Timeline and period of performance:
The period of performance for this role will start on May 1, 2019, and the work tasks are estimated to continue through approximately January 31, 2020
