JOB DESCRIPTION: The Associate Registrar bears primary responsibility for the preparation of the schedules of course offerings for Main and off-site programs; coordinates the implementation of policies and establishes procedures relative to the evaluation of transfer studies for incoming students. Responsibilities include but are not limited to the specific tasks outlined below. The position reports directly to the Registrar.

Direct involvement and oversee the following:
Preparation, implementation and maintenance of the schedules of course offerings for all terms and sites. Responsibilities include calculation and enforcement of NYS mandated instructional time
Record/ maintain/ enforce pre-co-requisites; coordinate process with Department Chairs/Program Directors;
Coordination of and participation in diploma distribution
Utilizing the services of the National Student Clearinghouse, and working in conjunction with the Office of Information Resource Management, processing of student deferments, enrollment reports, enrollment/degree verification, etc.
Assist faculty advisors and students with online registration challenges.
Oversee articulation agreements
Scheduling support and coordination of next generation implementation. Implement new Student Planning additional functionality to assist administration and faculty in planning for future departmental and program scheduling needs. Proactively assist in compiling information around college academic space utilization. Coordinate using current technology and data mining to assist faculty and administrative planning of future semesters
Evaluation of course work from other institutions as potential transfer credit for incoming students (in cooperation with Department Chairs and in compliance with institutional transfer evaluation guidelines);
Monitoring of students' progress toward completion of degree/certificate/academic minor requirements/clearance for graduation/certificate completion (undergraduate and graduate students; certificate students);
Review and clearance of prospective non-graduating walkers for participation in Commencement ceremonies;
Processing of registrations and transcript release for participating in study away partnerships;
Monitor progress of students accepted as Readmits not in Residence.
Design and maintenance of electronic degree audits;
Assists the Registrar in the completion of data and reporting particularly enrollment, program and scheduling reports.
Preparation and distribution (to Department Chair and Program Directors) of data lists: majors, minors, certificate students.
In conjunction with the Registrar, record/maintain/update inventory of course descriptions for publication in the electronic catalogue process with Department Chairs/ Program Directors
Maintenance of inventories of Selected Topics courses, and of courses with pre-assigned numbers
Associate Registrar is a part of the Athletics Department Compliance Committee and works with the Faculty Athletic Representative and Director of Compliance in processing of NCAA eligibility certification.
Serves as departmental liaison with the Office of Admissions.
Maintain strong knowledge of the College's student support system, currently Ellucian Colleague.
Serves as the Cross Registration Officer; assists in maintaining Registrar's web page and assists students in the Cross Registration process.
Participates on the Orientation Committee; coordinates and prepares information for new and transfer student Orientation programs and activities. This may include conducting orientation sessions for incoming freshman and transfer students regarding departmental student services and access to web information.
Assists the Registrar in preparation for new faculty orientation.
Implementation of approved proposals for students pursuing the BA, Individualized Studies degree.
Coordination of functional implementation of student system changes (Colleague), Ellucian releases system upgrades/patches 3 to 4 times a year.
Implement and document any policies and procedures changes that involve student record data in regards to data entry, processing, utilization and management.
Work in conjunction with Registrar and IT Staff in implementation of new reporting software. Support overall data intake and maintenance. Review and improve data intake; for example, registrar forms work flow.
Improve E-file utilization to reduce duplication of efforts in other offices, such as Admissions, Academic Advising and others.
Assist Registrar in coordinating implementation and maintenance of electronic transcript requests.
Collaborate closely with all Academic Support Services personnel and all other members of the campus community.
Back up for Registrar and their duties when needed.
Additional projects as assigned by the Registrar.
Completion of other appropriate duties, including service on other committees and focus groups as assigned by the Registrar, Assistant Vice President for Institutional Effectiveness and Systems Integration, Vice President for Academic Affairs.

Master's degree in related field.
2-4 years of experience in higher education or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Essential is a broad knowledge and comfort with student information systems, databases, and reporting tools
The ability to work effectively with students, faculty, administrators and staff.

Experience in an educational environment, particularly in Registrar or Academic Advisement in a college/university setting, is highly preferred.
Knowledge, experience with student information systems (SIS). Ellucian Colleague preferred or others such as Ellucian Banner, Oracle/PeopleSoft
