Sheladia is currently seeking an energetic, highly motivated, detail-oriented, Administrative Assistant. This position will be based out of our Rockville, MD office.

Responsibilities for this position include, but are not limited to:

  • Cover the Front Desk responsibilities during the Receptionist’s breaks and absence
  • Promptly answer incoming telephone calls; screen calls as necessary
  • Provide callers with accurate general information when appropriate and known or refer inquiries to appropriate department/individual
  • Assists with meetings – as hostess (provide coffee, order and pick up lunch when instructed)
  • Provide administrative support across departments, including Corporate, Accounting, International & Domestic
  • Assist with gathering of material from the internet or otherwise
  • Prioritize and respond to varied requests and perform several duties at the same time
  • Assist proposal/project team to prepare submissions including formatting, editing, developing spreadsheets, printing, & production as required
  • CV formatting as per project team/management request. Ensure that all documentation submitted complies with donor specifications
  • Maintain the internal database
  • Maintain file folders
  • Coordinate travel, working directly with Travel Agents, PMs and field staff to maintain budget restraints as well as Fly America, and other project specific restrictions
  • Assist with filing, scanning and distribution of monthly consultant pay slips
  • Facilities coordination as required including minimal travel
  • Visa and passport submission at relevant DC embassy
  • Submitting paperwork in person to licensing offices
  • Maintain confidentiality of all corporate information
  • Ability to prioritize and meet deadlines as given

  • Ability to take responsibility for assignments and report on progress with minimal oversight
  • Ability to communicate clearly and professionally with colleagues, clients & guests verbally and in writing
  • Assist executive staff as needed

Minimum Requirements:

  • Associate degree-years of experience may be substituted for education
  • 1 year of administrative experience
