What will you do

This position leads the management of HR administrative processes for the assigned business unit. This includes all HR processes that fall outside the HR Operations ownership, such as local events planning, reporting, metrics and projects within assigned business unit.

This position serves as a key team member on the Division/Function HR team and serves as the central resource for the VP, HR i n the planning and executing of HR strategies and priorities across the division. The HR Specialist leads the coordination of the work across the Division/Function HR team and project manages large scale change projects and processes (i.e., talent strategy work, culture strategy plans, people processes ).

Essential Duties & Responsibilities :
Project manages critical HR projects and processes. This includes coordinating the work to execute HR processes (i.e., talent reviews, CAR) as well as Division Led HR projects (i.e., Caring for our Culture work, talent initiatives)

Guide s the work of the HR Coordinator and provides backup to manage the volume of work.

Leads the preparation of documents, reports, spreadsheets and presentations for HR leader. This includes preparation for Business Reviews, Talent Reviews, HR Functional Reviews, Strategy Meetings and HR Team meetings

Leads and serves as the project manager for the coordination of work to support organizational change projects, in partnership with HR Operations and the HR Business Partner team. This includes support of organizational design work, agency transition s, etc.

Partners with HR Leader to assess reporting needs for Division/Function and oversees the coordination of the reporting (that is not produced by HR Operations) including creating divisional reports and the coordination of reports received from HR Operations for the use in updating local scorecards, leader dashboards and business reviews.

Collates department highlights and tracks progress against workplans and objectives for Divisional/Functional HR Projects

In alignment with COE guidelines, oversees the manage ment of the divisional/geography Q12 process . Partners with the HR Coordinator to ensure pre-survey data accuracy, fielding, distribution of survey results, tracking of action planning, creation of reports and acting as the Super User for the assigned business unit

In partnership with the HR Coordinator, s upport s the assigned business unit with regards to the Gallup administration including registering employees for StrengthsFinder, creating Team Blends, pulling StrengthFinder results, requesting missing profiles, interfacing to receive and monitor congruency reports as volume warrants.

Leads projects to enhance existing local processes and structures to streamline and be more effective as well as identifying initiatives that could better support our customers in a more efficient manner

Processes and validates year-end bonus planning and payout for Division/Function

Responsible for maintaining and coordinating the Division /Function annual Stock Award process

Responsible for coordinating the annual Performance Excellence Awards

Responsible for managing participation in talent and culture programs

Manage s additional projects or responsibilities as required

What you need

Bachelor’s degree or equivalent experience
5 years of related experience

Fully bilingual (English / Spanish) required

Demonstrated high level of proficiency in Microsoft Outlook, Word, Excel and PowerPoint. Including complex document creation (e.g. mail merges), complex spreadsheet creation (e.g. VLOOKUP) and polished presentation creation

Experience in creating reports, assessing, manipulating and presenting data in various usable formats is essential

Experience using Workday would be preferred

Demonstrated ability to build relationships and influence at all levels of the organization and across multiple functions

Proven ability to drive executi on while always meeting deadlines.

Must be outcome driven and taking responsibility/accountab ility for tasks

Ability to produce quality work while, prioritizing multiple simultaneous deliverables and working in a fast-paced, demanding environment

Project management experience preferred

Strong attention to detail

Ability to provide rapid, accurate response to confidential/sensitive requests and to handle confidential information

Strong interpersonal skills along with presentation, written and verbal communication skills are necessary.

Effectively facilitate discussions with and deliver communications to large groups of people.

Ability to effectively navigate Workday and Microsoft Office Suite.

Ability to handle multiple concurrent tasks and changing priorities
