Digital Team Admin Assistant

The Digital Team Administrative Assistant will contribute to the success of the digital team at Hibbett by providing advanced, dedicated administrative support to the digital leadership team. This individual will proactively manage various administrative duties including invoices, contracts, and calendar coordination across multiple departments and vendors while also coordinating enhanced customer service support training and managing the development of new marketing initiatives as needed. Successful candidates will have excellent time management skills, and the ability to perform effectively with limited direction.

Management of invoices for the entire digital team by managing digital filing system and ensuring that all payments have been successfully coordinated with the accounting department
Management of digital marketing budget entry and monitoring for entire digital leadership team
Management of gift card program (both 3rd party and in-store) and liaison with outside vendors
Development and coordination of training program for 3rd party and internal customer service teams specifically related to the customer loyalty program
Management and development of Hibbett scholarship program and other marketing initiatives as opportunities arise
Manage and coordinate the board member gifts for quarterly meetings
Management & legal liaison for all digital team vendor contracts including obtaining all required signatures and filing in online platform
Meeting organization and coordination for large, vendor meetings for the entire digital team including arrangement for live and telepresence audio visual equipment, sets up meeting facilities and may take meeting minutes
Initiates process improvements for senior team members based upon observations of department needs
Provide customer service for all social media inquiries throughout the week M-F and coordination of proper response with Customer Service Management
Additional duties as requested
At least 2 years of professional experience supporting a large team of mid-level and senior management in a fast-paced environment
Bachelor’s Degree in Marketing, Advertising or Communications preferred
Ability to multi-task and execute with excellence & precision while adapting to competing demands and shifting priorities
Ability to communicate & influence effectively at all levels of the organization
Experience establishing and maintaining relationships with individuals at all levels of the organization, including the executive level
Clear & effective written & verbal communication
Ability to handle confidential and sensitive information
Ability to work independently; self-motivated & willing to take an idea and run with it
Highly organized & flexible
