This is NOT a recruiting or human resources position, nor is it a patient scheduling position.
Must have experience staffing over 200 Nurses and C.N.A's for all 3 shifts (24/7) for 6 nursing units ensuring all nursing needs are met to care for the residents of Woodbine Rehab.
Expected hire/start date: late February 2019
As the Staffing Coordinator you will report to the Director of Nursing. You will be responsible for preparing the monthly work schedule for the Nursing Department and making daily adjustments as needed to meet staffing needs.
Within prescribed time frame, prepares and posts the daily and monthly work schedule for the Nursing Department.
Exhausts all available internal resources to fill "holes" in the schedule by contacting all PRN employees, increasing work hours of part-time employees, asking full-time employees to work additional shifts, offering pre-approved financial incentives, etc.
Schedules overtime only when necessary to meet staffing and resident care needs and avoid external agency usage.
Maintains regular communication with supervisor and HR Department regarding scheduling problems such as consistent overtime, vacant shifts, etc. that may require recruiting / hiring of additional staff.
Maintains regular communication with HR regarding staff requests and approvals to change employment classification.
Within one hour of the start of the shift, prepares and posts census / staff acknowledgement form for each nursing unit / each shift.
In response to census changes and as directed by supervisor, adjusts nursing work schedule to ensure staffing appropriate to census level.
Reviews payroll time records for nursing department to help ensure accuracy of time worked.
Inputs all payroll data for nursing department including approved vacation time, sick time, holiday pay and other benefit time.
Produces daily reports to assess compliance with labor hours budget while notifying supervisor of labor hour budget variances.
Schedules newly hired nursing staff for new employee on-the-job "floor" orientation and training.
Tracks absenteeism and tardiness for the Nursing department and advises supervisor.
Strong computer skills including learning new software programs as well as excel and other MS Office applications
Experience scheduling staff for a 24 hour operation, preferably in healthcare.
Excellent customer service including telephone etiquette.
The ability to build strong relationships with staff to ensure coverage for call in's and understaffed units
Good attention to detail
Ability to be flexible and innovative when challenged with staffing issues
