The Requirements

5+ years experience in Property Management in either a Data Center (highly preferred) or commercial/industrial
Previous budget experience required
Strong PC skills
Some knowledge of technical operations of a commercial or technical facility on both the mechanical and electrical side
Very strong communication skills and a pleasant, collegial demeanor
Strong sense of urgency to complete tasks for both tenants and internal departments
Strong problem solving skills; resourceful in seeking solutions and information
Ability to respond to issues 24/7
Very strong tenant relations posture; service driven
Extended hours may be significant at times
Strong written and verbal command of the English language
Ability and willingness to respond to emails after hours in the event of an emergency

The Role

Financial/ Budget
Assist in budget materials compilation for both operating expenses and capital budgets for each data center
Data entry for all expense line items (except salaries and management fees)
Review draft budgets (income and expense)
Update current year reforecast budget
Compile and present final budget to RDPM
Review on a monthly basis to track variances; provide report to RDPM
Provide list of monthly accruals to Property Accounting group
Invoice Processing
Final review and approval
Final follow up on invoice issues with vendor
Follow up with site managers regarding invoices with no corresponding P.O.
Review invoices for supporting documentation (PO/Contract/Other). coding, and proper budgeting
Purchase order
Final review of P.O’s
Distributing completed purchase order
Ensure proper documentation for vendor and tenant COI's
Review summary/tracking sheet
Follow up on expiring COI’s and incorrect COI’s as needed
Contract Administration
Request proposals and bids for services
Responsible for Professional Services Agreement (PSA) and Amendment(s) for assigned sites
Work with General Counsel on issues as needed
Review vendor contract summary sheet monthly
Lease administration
Demonstrate intimate understanding of tenant leases
Review lease abstract(s)
Update working and original files
Non-Disclosure Agreements (NDA)
Ensure proper documentation for vendor NDA’s
Review summary/tracking sheet
Report any issues to Senior PM or RDPM
Service notices
Monthly/weekly review of service notices tracking sheet
Review all notices for upcoming work at site prior to distribution to client(s)
Follow up with respective manager to close out notices if needed
Service requests
Track all client requests or inquiries (Service Requests) to completion
Oversee assignment of ticket number, updates and close-out with clients
A la carte Administration
Draft and/or review a la carte proposals for accuracy and quality prior to distribution to clients
Send accounting weekly updates on billing status
Invoice processing of a la carte orders
Working directly with clients on any tenant service concerns, deployment strategies, security matters, building operations procedures
Ensuring that clients have constant, transparent communications on the status of the building and its operational systems
Providing audit support for clients as requested
Providing tours of the facility as requested by the clients
Coordinate all vendors and issues that do not fall into Critical or Essential Managers Circle (e.g. roof leaks, window leaks, insulation issues, cleaning, landscaping, etc.)
Periodic meetings with clients to review daily operations, status of service requests, site specific activities
Assist clients with audits and tours as requested
Review monthly rent invoices
Provide bi-weekly report to RDPM
Other duties assigned
