We're looking for a polished, organized and proactive Administrative Assistant with excellent Outlook, MS PowerPoint, Excel, and communication skills. This position provides professional administrative support to the Chief Commercial Officer (CCO) of Lundbeck’s Neuroscience business unit, as well as other commercial leaders. To support and improve overall operating efficiency, the individual in this role works under general guidance to plan, prioritize, communicate and organize workloads, and takes responsibility for special projects, as needed, by the department.

ESSENTIAL FUNCTIONS:
Provides professional administrative support to the Neuroscience business unit which includes, but is not limited to:
Proactively manages calendar and e-mail for the CCO; proactively manages calendars for director-and-above (director+) colleagues
Organizes onsite and offsite meetings, room reservations, video conferencing, and tele-conference calls for meetings hosted by the CCO and director+ colleagues; organizes meal catering for all home office Neuroscience meetings, as needed
Effectively coordinates complicated domestic and international travel arrangements for the CCO and director+ colleagues, in line with company travel policy
Creates and executes expense reports for the CCO and director+ colleagues
Coordinates interview scheduling process for the Neurosciences business unit
Manages departmental logistics: distribute mail, produce and distribute correspondence memos, letters, distribution lists, organizational charts, orders office supplies and the commercial calendar
Acts as department lead and point of contact to assist corporate management, Lundbeck US/North America, Lundbeck affiliates, alliances partners, visitors and new employees within the business unit
Provides reception desk and other department back-up and/or relief, as required

REQUIRED EDUCATION, EXPERIENCE and SKILLS:
High School Diploma/GED
High technical proficiency including MS office
3+ years of administrative assistant support experience
High degree of professionalism as the face of the Neuroscience business unit to internal, external and global colleagues and partners
Able to handle day-to-day activities in a fast-paced, ever-changing environment
Strong planning and problem-solving skills
Self-motivated, with excellent time management and organizational skills
Able to prioritize work and manage multiple work activities simultaneously, while meeting deadlines
Able to anticipate and advise on departmental needs
Highly collaborative with the ability to work well in an individual and team environment
Capable of setting and accomplishing objectives with minimal supervision, with a high attention to detail
Clear and professional written, oral, and interpersonal skills
Able to handle sensitive information with the highest degree of discretion and integrity
Proactively identifies and manages work, rather than taking a reactive approach

PREFERRED EDUCATION, EXPERIENCE AND SKILLS:
5+ years administrative assistant experience, ideally with a senior executives and their leadership team
Administrative assistant experience in pharmaceuticals or related life sciences industry
Proficiency with MS Access
Accredited BS/BA degree
