General Purpose

  • To administer overall support to the CFO, SVP HR, & SVP, General Counsel; To provide office management to the New York office

Essential Duties/Responsibilities – Executive Assistant

  • Represent the team with a strong professional image
  • Provide strong executive support: ensure telephone coverage; manage calendars and meeting planning across multiple countries and time zones; coordinate travel arrangements, domestic and international; execute timely expense reporting; and other logistics
  • Maintain confidential information and materials

Other Essential Duties

  • Maintain clean, organized and effective office environment: supervise maintenance and repair of all office and facilities equipment; stock all break room and office supplies; maintain seating chart, user inventory, directories and office resource manuals
  • Act as point of contact with property management, building superintendent, front desk security, and cleaning services; coordinate building and office security
  • Administer NY office vendor relationships, accounts, contracts and invoices
  • Greet and direct all visitors
  • Process incoming and outgoing mail and packages
  • On-board New York employees with regard to office functions and resources
  • Steer DH&i Social, Wellness & Giving Committees to encourage engagement and positive environment
  • Plan and organize select company events
  • Assist with and/or lead special projects

Job Qualifications

  • High School diploma plus 4 year degree in equivalent field (i.e. Communications, Business) or other professional certification
  • 5 years administrative experience
  • Highly dependable and discreet
  • Proficient with standard desktop applications (i.e. Microsoft Outlook, Word, Excel, PowerPoint, Adobe Professional)
  • Excellent written and verbal communication skills
  • Excellent people skills
  • Strong attention to detail
  • Strong initiative and efficiency
  • Strong organizational, time management and multi-tasking skills
  • Technical aptitude and comfort with technical processes, applications and equipment including video-conferencing equipment and web-based platforms
  • Proficient with standard office equipment (photocopiers, printers, fax machines)
  • Creative thinker
