Documentation Specialist (Contract)

The Technical Writer / Documentation Specialist is responsible for converting existing policy documentation to meet newly established requirements including guidelines, naming conventions, formats and styles. Additionally, this role will be responsible to convert the finished documents into PDF format for storage on an existing SharePoint site.

Scope of Responsibilities:
The documents/policies in this description include the following
  • HR and Manager Library: 200+ documents
  • HR Library: 100+ Documents
  • Employee Handbook
Insert content from existing documentation into new template and format according to newly established guidelines
Review content to recommend formatting for better readability
Utilize a tagging spreadsheet to mark each template with “applies to” for Canada, US, EUR or AUS (or multiple)
Route drafted versions to subject matter experts for edits and approvals.
Follow established process of archiving past versions and uploading new ones.
Update content in accordance with gender neutral language guidelines
Identify and highlight all US specific language in the EE handbook and update
Position may include other important duties as determined by the company.

This is a 4-6 month contract opportunity.

Required:Advanced Word Skills – experience with the following:
Styles Tables
Formatting Headers/Footers
Spacing Page and Section Breaks
Ability to follow established File Naming Conventions
Experience formatting single and multiple page Word documents using headings, tables, bulleted lists, numbered lists and inserting links
Proficiency with Adobe Acrobat
Ability to upload documents into Intranet site follow archiving procedures to save original documents
Detail oriented and well organized
The ability to work independently with minimal supervision

Information Mapping and/or experience with formatting for better readability
Some experience with SharePoint or other repository
