Under general supervision of the Associate Vice President (AVP)/Chief Information Officer (CIO) and daily lead guidance of the Administrative Analyst, this position will
provide administrative support to the Office of Information Technology and the OIT governance committees. Duties include but are not limited to:
Provide administrative and general clerical support for the AVP/CIO and the OIT department. Type documents; create and update spreadsheets; schedule appointments; copy and

distribute various materials; organize and take notes for staff meetings or other committees as assigned. Maintain electronic calendar for AVP/CIO and the department.
Assist and ensure processing of OIT student assistant timesheets and OIT employee absence reports.
Receive shipments; stock and order office operating supplies through current campus vendor.
Prepare department purchase requisitions, travel forms, and other related campus forms as needed.
Enter OIT data for purchasing, travel, and other various expenses in department databases. Create and run reports as needed. Assist with the OIT recharge process.
Responsible for appropriate use of assigned PCard; complete required monthly reports, to include a working knowledge of campus procurement card policies and procedures.
Provide reception duties for the OIT office. Schedule committee meetings, attend and record meeting minutes as needed.
Monitor and track committee set deadlines and projects, coordinate tasks, create committee documents as appropriate, while keeping the AVP/CIO and relevant OIT managers aware of

any issues and/or items needing special attention or focus. Assist with OIT event planning and coordination.
Assist Deputy CIO with ad hoc project planning and execution as assigned. Other duties or projects as assigned.

MINIMUM QUALIFICATIONS:
Completion of a high school program or equivalent.
Some experience in an office environment.

PREFERRED QUALIFICATIONS:
One year of general office clerical/administrative assistant experience. Some college/university desired.
Previous related experience working in a fast-paced, customer service orientated office setting. Previous experience working in an information technology setting is highly desirable.
Prior experience with high volume order receiving and tracking. Prior experience with event planning and coordination.
Experience creating organizational charts and other graphic designs. Accurate typing/computer skills.

SPECIALIZED KNOWLEDGE, SKILLS, AND ABILITIES:
Experience to be proficient in performing most or all work assignments. Thorough knowledge of office methods, procedures, and practices.
General knowledge of applicable university infrastructure, policies, and procedures. Fluency in using standard word processing and related computer software packages.
Thorough knowledge of English grammar, spelling, and punctuation. Demonstrated competence in effectively presenting standard information in writing.
Ability to use standard office equipment. Typing and keyboard skills. Ability to learn office technology systems.
Ability to identify and solve standard problems and refer more complex problems to appropriate staff. Demonstrated presentation skills to effectively communicate standard information.
Ability to respond to routine inquires and explain standard policies and procedures to others.
Ability to learn, interpret independently, and apply a variety of complex policies and procedures. Able to identify deviations from applicable policies.
Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions.
Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
Work often involves front line contacts with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills.
Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.

SALARY RANGE: $2,600 - $4,458 per month plus excellent paid benefits. (Anticipated salary will be $2,600 - $2,860 per month, depending on the qualifications of the successful finalist.)
