Responsible for performing a wide range of administrative and executive support duties of a highly responsible, time sensitive and confidential nature for executives


The following duties and responsibilities generally reflect the expectations of this position but are not intended to be all inclusive.

Relieves executives of administrative functions to allow executives to focus on strategic responsibilities
Supports executives by prioritizing, assisting and executing action items, follow-ups and tasks with minimal supervision
Arranges travel itineraries (local, national and international travel)
Create and/or assist with creating presentations as requested or needed including charts, graphs, and/or gathering data
Compose and edit correspondence and memos from dictation, written, and verbal direction; initiate communications as directed or within scope of assigned responsibility
Review mail, determine level of priority, and process accordingly; ensure all outgoing mail is prepared as necessary
Schedule, organize, and/or coordinate meetings, events, training sessions, interviews, appointments, conferences, and activities as requested; ensure electronic calendar is coordinated and up-to-date
Prepare, reconcile, track, and submit expense reports as requested
Respond confidently, courteously, knowledgeably, and professionally to internal and external phone calls and office visits including company leadership, senior managers, teammates, and customers, exhibiting a “can do” customer service attitude
As needed, requisition supplies; coordinate purchasing for printing, maintenance and other services
Other duties and responsibilities as assigned including but not limited to:

Work overtime with little or no notice as needed
Attend team meetings, phone conferences, and training as needed
Know, understand, and follow teammate guidelines, employment policies, and department or company procedures
Consistent, regular, punctual attendance as scheduled is an essential responsibility of this position

Education, licenses, certifications, and experience required to fulfill the essential duties, include computer skills as required.

High school diploma or equivalent required
Associate’s degree required or equivalent years of work experience in administrative or executive assistant role may be substituted in lieu of degree; bachelor’s degree preferred
Minimum of seven (7) years’ experience in administrative support role including a minimum of five (5) years’ experience supporting an executive required
Intermediate computer proficiency and skills in MS Word, PowerPoint, Excel and Outlook required

Strong written, verbal, and interpersonal communications skills including ability to listen attentively and to communicate information clearly and effectively
Demonstrated ability to work well with cross-functional groups
Demonstrated interpersonal, collaborative, and relationship-building skills; ability to interact positively with teammates at all levels of company
Approachable and open
Demonstrated professionalism and courtesy in responding to phone calls and emails
Demonstrated time management skills and ability to handle multiple priorities with shifting time frames, and meet deadlines; self-starter with high degree of initiative, urgency, and follow through
Demonstrated ability to prioritize multiple, possibly conflicting priorities and projects with flexibility; ability to adapt to a changing work environment and responsibilities
Ability to take initiative while seeking guidance as appropriate from Executive
Ability to maintain absolute confidentiality concerning information accessed
Sound judgment, troubleshooting, and problem resolution skills
Demonstrated sound judgment in administrative and procedural decisions within scope of established parameters
Demonstrated strengths in organizational, attention-to-detail, analytical, reasoning, critical thinking, and problem solving skills
Demonstrated commitment to exceptional customer service; ability to handle busy phones in a professional and courteous manner with all levels of the organization
Demonstrated ability to work independently as well as a member of a team and to foster a positive work environment
Professional conduct, attitude, and appearance

Fluent in the written and verbal skills necessary to perform successfully the essential functions, duties, and responsibilities of the position
