The Associate HR Systems Analyst provides support to all levels of the organization by creating and implementing training across the core responsibilities of HR Compliance, HR System Administration, and Customer Support. They partner cross-functionally to meet changing business needs and use critical thinking skills to identify process gaps and develop solutions. The Associate HR Systems Analyst acts as a system administrator across multiple platforms to perform complex, technical issue resolution, system set up, reports, and audits. They ensure organizational compliance within internal filing and hiring processes by monitoring changes in regulations, upholding Affirmative Action guidelines, and engaging with partners across all levels of the organization.

HR Compliance
  • Manage employee files in accordance with our internal retention schedule, and monitor changes in Federal, State, and Local regulations to ensure organizational compliance
  • Partner with HR Business Partners to educate employees on changes in Federal, State, and Local regulations to ensure consistent, compliant practice across all functions
  • Partner cross-functionally to review the company HR compliance practices and internal auditing schedule
  • Manage the internal audit schedule and see through the complete audit process, with the ability to assess the results and communicate corrective action to various levels of the business
  • Create and provide training for best practice to customers on required Federal forms and background checks
  • Confidentiality in both written and verbal communication with understanding of the work environment

HR System Administration
  • Taleo Enterprise Edition (TEE)
    • Ability to effectively navigate the system in order to perform complex tasks including creating and managing message and requisition templates, managing user accounts, and updating user-defined forms
    • Create and uphold standards for building and posting requisitions to ensure consistency, accurate reporting, and Affirmative Action compliance
    • Ability to create and perform in depth training and explain system usage to customers including system configuration and process impact
    • Audit requisitions to ensure compliance with Affirmative Action guidelines and Company standards
    • Perform testing on scheduled releases
    • Perform complex troubleshooting to resolve issues across all levels of the organization
    • Perform ad-hoc reporting by request per current business needs utilizing Oracle Business Intelligence (OBI)
  • Hyland LawLogix
    • Create accounts and provide training for new locations and managers
    • Resolve escalated technical issues
    • Provide compliance training across all levels of the organization
    • Review completed audits for accuracy and provide corrective guidance for discrepancies
  • Sterling Talent Solutions
    • Create accounts and provide training for new locations and managers
    • Provide customer support to current managers and new hires completing the background check process, and resolve escalated technical issues
    • Review completed audits for accuracy and provide corrective guidance for discrepancies
    • Partner with HR Business Partners in the review and resolution of disputed cases
    • Thorough knowledge of Ban The Box legislation
  • Columbia Sportswear Company Service Portal
    • Own and maintain the HR Service Portal forms in partnership with the Service Desk
    • Regularly review forms to assess necessary updates based on changing business needs
    • Create and provide training to users across all levels of the organization
  • Additional Systems Support
    • Support role on large projects, i.e. system upgrades and replacements
    • Ensure proper set-up for locations and users in Social Sourcing
    • Perform User Acceptance Testing (UAT) in partnership with other departments
    • Provide support for other internal systems including SuccessFactors, Store Force, Kronos, Benefits Portal, and ADP and escalate inquiries to management as appropriate
Customer Support
  • Transactional Support
    • Develop training documents on common transactions for field teams
    • Complete data entry in HRIS for groups restricted from Coordinator level
    • Perform corrections in HRIS system based on audit results
    • Partner with Field Management during transitional periods for accurate system delegation
    • Manage and respond to complex or escalated email requests through a shared email inbox
    • Backup Coordinator level duties as necessary
  • Direct Customer Support
    • Create and provide best practice training and support to all levels and audience sizes within the organization through effective written, phone, and in-person communication skills
    • Ability to manage the Request For Position (RFP) process from submission through approval for both Personnel Committee and Executive VP approval routes
    • Partner cross-functionally to assess current business needs and develop a strategy for process improvement
    • Review internal team processes to address changing business needs and provide solutions
    • Perform ad-hoc reporting by request per current business needs
    • Review routine reporting and identify current gaps to develop reports that influence business practices and decision making
    • Possess strong critical thinking and problem solving skills
    • Ability to work individually and in a team setting
  • Bachelor’s Degree or equivalent work experience in a business environment
  • 1-3 years professional experience
  • 1-2 years HRIS experience preferably Taleo Enterprise Edition
  • Intermediate skills with Microsoft Suite
  • Basic Visio skills preferred
