Duties & Responsibilities

The Executive Assistant to the Dean is a key member of the administrative team for the Office of the Dean. This position performs a wide range of complex administrative tasks and duties in a high-profile, fast-paced environment to support the Dean of Harvard Law School and the related work of the Office of the Dean.

Essential Functions:
Strategic and thoughtful management of the Dean’s schedule, appointments, and complex calendar; balancing priorities, anticipating needs, developing and implementing effective systems and processes, and proactively troubleshooting scheduling conflicts.
Gather, develop, and prepare comprehensive briefing materials, including agendas, talking points, research, and background documents for meetings and speaking engagements; ensure that the Dean and key staff are fully briefed on commitments.
Review, edit, and draft confidential communications, including correspondence on behalf of the Dean.
Make complex travel arrangements.
Maintain files and key contacts.
Ensure proper meeting room preparation, including catering and audiovisual services.
Act as a primary point of contact for the Office of the Dean; greet the Dean’s visitors and guests in a welcoming and professional manner.
Serve as a representative of the Dean; work collaboratively with internal and external constituents.
Perform other related duties as required to ensure the smooth operation and responsiveness of the Office of the Dean; assist with projects as needed.

Basic Qualifications

Minimum of 5 years of related experience working with and supporting senior level, executive staff. Fluency in Microsoft Office applications (Word, PowerPoint, Excel, Access), plus Outlook. Bachelor’s degree.

Additional Qualifications

Harvard or other higher education administration experience a plus. Demonstrated ability to triage and prioritize a high volume of time-sensitive tasks and communications. High level of independent judgment, initiative, discretion, collegiality, integrity, professionalism, confidentiality, and attention to detail. Strong interpersonal, communication, and writing skills necessary.

The Office of the Dean is a highly visible and dynamic environment. As such, flexibility and a collected approach under pressure are needed as are experience handling difficult situations with tact and diplomacy.
