Administrative Coordinator - This is a full-time position, Monday - Friday with some flexibility in hours that can be negotiated through the hiring process. The primary contribution of the role is to administratively support the Property Management Division of Living Room (LRPM) with a heavy focus on tenant and applicant support. The Coordinator will manage tenant receivables and process incoming payables. The Administrative Coordinator will be responsible for providing prompt thorough responses to Property Management clients. They will have the natural ability to generate and work within systems that keep the team organized. They have an incredible knack for details, understand local landlord-tenant laws, financials, accounting terms, and are comfortable with Appfolio and other internet-based software. The administrator is extremely organized and comfortable communicating with team members, vendors, and clients via phone, email, and text. Success in the role will equal well-maintained client files, properly drafted lease documents/addenda, applications processed within 3 business days of receipt, weekly processing of all payables, and well-maintained bank deposit files. Customer satisfaction will show through in the form of 5-star reviews. Tenant delinquency is less than 2% each month (will be adjusted for COVID) and LRPM will not be responsible for paying late fees for unprocessed, delinquent statements.
90% work from home and 10% fieldwork (office visits to pick up mail, courier checks to signers, check office lockboxes, weekly trips to USPS.
1st contact for LRPM Tenants
Generate lease documents and addenda
Respond to tenant questions via phone, email, text and in-person when required
Process applications & manage the move-in workflow
Perform regular software audits
Perform corporate Quickbooks accounting & credit card reconciliations
Process incoming payables including utility allocations
Work closely with maintenance team on billing allocations and approvals
Process notices to vacate and related workflows
Draft and issue tenant violations, notices of entry and other tenant notifications
Manage lease renewal workflow with tenants
Field LRPM main phone line, update greeting message and phone tree
Owner correspondence pertaining to utilities and unit entry
Process accounts receivable, track tenant delinquency, and issue notices for collection. Manage aged delinquency report
Perform rental verifications
Participate in staff meetings
General office support and organization
Tenant ledger corrections, rent credits, and billing updates
Maintain tenant files in all systems (Appfolio, Tenant Tech and Basecamp)
Ensure tenant files are compliant, follow up on missing documents
1+ years of AppFolio or similar property management software experience (Yardi, MRI, Buildium, Rent Manager, Propertyware, etc)
1+ years of Oregon, property management experience
Excellent organization skills
Basic knowledge of accounting terms
Incredible attention to detail
Proven ability to meet goals and deadlines with strong follow-through
Ability to create and maintain timelines and efficient, effective processes
Ability to proactively, effectively communicate with all levels of an organization and with diverse client populations
