Overview:
- 2-5 years of Executive Assistant and Personal Assistant experience
- Fluency in Spanish preferred
- Proficient in Microsoft Office suite
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong interpersonal and written and verbal communication skills

Responsibilities
- This position's duties will be split as 30% Personal Assistant and 70% Executive Assistant
- Scheduling and heavy calendar management (BOTH business and personal calendars)
- Acting as a "gatekeeper" for the CEO
- Assist in HR related issues
- Taking, screening, and vetting all phone emails and otgher messaging platforms
- Produce workflow reports that facilitate the CEO's ability to effectively lead the firm
- Liaison directly with contractors, buiilding departments, tenats and clients
- Entering CEO's tasks into Outlook and asign to staff and ensure that they are completed
- Run various personal errands as needed
- Manage contacts in Outlook
We are seeking a highly organized and detail-oriented Personal?Excutive Assistant to join our team. The ideal candidate will provide administrative support to our team, ensuring seamless day-to-day operations and contributing to the overall success of the organization. This role requires a motivated individual and independant who is skilled in administrative tasks, has strong communication skills, and is comfortable with technology.
Responsibilities:
- Provide administrative support to the team, including data entry, document filing, and proofreading
- Assist with project coordination, including scheduling meetings and managing timelines
- Maintain accurate and up-to-date records using QuickBooks
- Handle incoming and outgoing calls with exceptional phone etiquette
- Coordinate travel arrangements and book meetings
- Transcribe meetings and documents as needed
- Perform other administrative tasks as required
Skills:
- Proficiency in QuickBooks and other administrative software
- Strong typing skills with the ability to transcribe documents accurately
- Excellent proofreading skills
- Ability to coordinate projects and meet deadlines
