Investment Bank is seeking Administrative Assistant to support 5-7 bankers depending on varying levels of coverage needed. The ideal candidate will demonstrate a high level of service excellence and the ability to own the following key areas for us:

Job Description

  • Telephone Support
  • Answer and direct incoming phone calls as requested by professionals being supported
  • Answer and direct incoming phone calls as back up for other Administrative Assistants
  • Record and track detailed messages and relay follow-up
  • Calendar Management
  • Manage calendar for professionals being supported including coordinating and scheduling meetings via Outlook
  • Reserve conference rooms including catering and audio visual needs through online booking system
  • Arrange conference calls and initiate calls as needed
  • Travel and Logistics Coordination
  • Book flights, ground transportation, lodging and entertainment for business travel (domestic and international)
  • Prepare itineraries for business travel
  • Expense Submission and Reconciliation
  • Prepare and submit monthly expenses through Concur and monitor corporate card payment to American Express
  • General Administrative
  • Manage client contacts for professionals being supported
  • Filing and general organization
  • Send and track FedEx packages
  • Other tasks and special projects as requested by professionals being supported
Preferred Qualifications

  • 2-3 years of previous experience as an administrative assistant preferably in a corporate environment
  • High level of proficiency in software packages such as MS Outlook, Word, Excel, PowerPoint
  • Bachelor’s degree preferred
  • Highly organized and efficient
  • Excellent communication skills both written and verbal
  • Detail-oriented
  • Excellent judgment and discretion regarding sensitive and/or confidential information
  • Problem solving and decision making skills
  • Friendly, positive attitude, team player
  • Professional and polished presence
Salary

  • $70-80K plus benefits and bonus
