Langan is seeking a Human Resource Assistant for our New York, NY office. The individual will report to the Human Resource Manager-NY and assist the Human Resources department with recruiting and administrative support including processing paperwork, maintaining files, hiring assistance, interacting with candidates and clients, and performing other human resource responsibilities.
Assist and support NYC HR Manager with sourcing candidates, conducting pre-screens for all levels and phone screens for intern candidates.
Assist HR Manager with scheduling phone screens and interviews, conduct reference checks, offer letter preparation, and communications to new hires prior to start date.
Maintain scheduling calendar for interviewing candidates. Coordinate with HR Manager and hiring managers across disciplines for scheduling interviews.
Assist in preparation of new hire paperwork and status change forms for submission to corporate office. Follow up with HR Manager for missing documentation, corrections and originals.
Assist in orientation and onboarding of new hires, distributing new-hire orientation kits and employee handbooks, and collection of documents.
Assist in maintenance of New York office seating chart working with NY Principal.
Maintain NY workplace posters/compliance bulletin boards ensuring updated postings. Maintain “Board of Excellence” recognition board.
Act as backup to corporate HR Assistants and assist HR Department members with on-going tasks and projects.
Conduct research on inquiries, as needed.
Provide general clerical duties including event scheduling, distribution of HR publications, filing, typing, scanning, photocopying, faxing, reviewing and composing mail, and ordering supplies.
Perform other duties and as requested.
Bachelor's Degree in Human Resources or related degree
Entry level; Prior HR-related administrative experience or internships preferred

Ability to work independently, remain flexible, and handle multiple priorities in a fast paced environment
High level attention to detail and organization

Proficient in Microsoft Word, Excel, and PowerPoint; HR database programs a plus
SharePoint and Electronic File Management experience a plus
