The Clinical Scheduler reports to and functions under the supervision of the Clinical Manager; projects daily staffing needs, coordinates staff’s daily work load and serves as a resource to team members, referral sources and patients according to Agency policy and procedures.

As a key member of the health care team, the Clinical Scheduler must interact courteously and effectively with patients and their families as well as with co-workers from all Agency departments, community resources, and with patients' physicians in order to facilitate safe and efficient patient care.

  • Provides clerical and scheduling support to the clinical departments.
  • Assigns Admissions following scheduling procedure:
  • May call all new Start of Care (SOC) to confirm accurate data and documents any changes.
  • Arrange for family to be present as necessary (Hospice patient).
  • Assigns resources to patients.
  • Assign all clinicians according to geography, program and caseload numbers.
  • Assign all unassigned revisits timely and accurately.
  • Assign all therapy evaluations and admissions.
  • Assure all clinicians are scheduled according to productivity expectations: schedules to ensure best possible continuity of care.
  • Communicates with manager clinician specific issues:
  • Schedules not accurate.
  • Untimely response to communication.
  • Staffing Needs
  • Adjust schedules to meet various contingencies, e.g. emergencies, sick calls, vacations, LOA, etc.
  • Receives and responds to patient calls related to scheduling.
  • Maintains effective interpersonal relationships. Demonstrates effective communication skills.
  • Uses voicemail/secure messaging effectively. Communicates with others as necessary in an efficient, professional manner. Documents appropriately.
  • Uses appropriate communication channels.
  • Functions in accordance with Agency and Department policies and procedures.
  • Maintains a good attendance record.
  • Observes Corporate Compliance Policy and Standards of Performance.
  • Demonstrates ability to adapt to changes in the workload or assignment.
  • Continually strives to make the best use of time during the work shift.
  • Evaluates own areas of strength and need.
  • Exhibits behaviors appropriate for the Agency, demonstrating such characteristics as good grooming, proper speech and personal hygiene
