Manage and maintain multiple executives' schedules, appointments, travel arrangements and submit expense reports
Arrange and coordinate meetings and events
Coordinate support with other executive assistants
Prepare and edit complex legal and compliance related correspondence, communications, PowerPoint and other presentations and other documents
Provide electronic filings and database support
File and retrieve documents and reference materials
Arrange meetings for multiple entities, assemble and distribute meeting materials.
Conduct research, collect and analyze data to prepare reports and documents
Record, transcribe and distribute minutes of meetings
Monitor, screen, respond to and distribute incoming communications
Handle confidential and highly complex information with discretion, initiative and independent judgment
Liaise with internal staff at all levels, as well as internal and external partners
Co-ordinate project-based work
Support key business processes, such as team meetings, annual budgeting, monthly forecasting, processing of vendor invoices, and other tasks on an ad hoc basis
Research, compile, summarize, and analyze information to facilitate decision-making, and respond to inquiries from internal and external customers
5+ years’ experience providing support at the executive level
College Degree preferred
Expert proficiency with PowerPoint for presentations, Word for executive correspondence, contracts, minutes, etc, Outlook for scheduling and email, and Excel for budgeting
Expert in standard office administrative practices and procedures
Excellent organizational and planning skills
Excellent written and verbal communication skills
Strong information gathering and monitoring skills
Excellent business judgment and decision-making ability
Takes the initiative to analyze and solve problems and accomplish goals in a timely manner
Complete discretion and ability to maintain confidentiality essential
