Greet, welcome and direct visitors into the OL suite. Accurately answer, screen and forward any incoming phone calls while providing basic information when needed. Maintain the OL room management through Google Calendar. Gather, assemble and distribute course materials and teaching aides and supplies. Set up and break down of OL classes, meetings, and conferences, including wiping down tables and changing the water cooler. Set up and break down of all catering services. Maintain office suite appearance and tidiness. Move packages to their appropriate locations. Collaborate with training coordinators to gather on and off site course materials and instructor needs. Update/maintain course needs list/books/office supplies. Help instructors as needed with program/event needs. Assist training coordinators with meeting scheduling, room reservations, and minutes. Maintain and receive office supplies inventory. Copy program instructor handwritten notes and other assignments into MS Word. Assist in the updating of course materials as requested in MS PowerPoint and Excel. Prepare mass mailings of OL print materials, requested literature, etc. Pick up mail and distribute mail to staff mailboxes. Maintain the OL marquee. Assist if needed with OL special events and conferences.
Must demonstrate friendly, positive and willing attitude. Must be able to take initiative and be responsible and able to work independently of close supervision. Must have critical thinking ability/skills. Must be able to type accurately. Must possess a working knowledge of Microsoft Word, PowerPoint, and Excel. Possess and aptitude and comfort with computers and computer systems. Must be able to take accurate phone messages. Must enjoy working with the public, be collaborative and a team player. Attention to detail is essential to being successful in this position.
Position pays $15/hr. M-F, 8am-5pm. Assignment begins ASAP and the duration is TBD (expected to be long-term).
