Responsible for ensuring the efficient day-to-day operation of the office, and support the work of management and other staff. Job duties consist of but are not limited to:

Responsibilities:

  • Responsible for answering the phone in a professional and courteous manner and relay pertinent information to staff
  • Accountable for receiving, directing and providing general support to visitors & vendors
  • Maintains supply inventories by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Code and file material according to the established procedures
  • Provide secretarial and administrative support to management and other staff
  • Sort incoming mail, faxes, and courier deliveries for distribution and outgoing mail
  • Assist management with scanning & electronically filing documents
  • Maintain phone system, equipment, outgoing messages and the answering service
  • Administrative duties: copier maintenance, postage machine maintenance, office supply purchases, general office upkeep
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Maintain contact lists of vendors, owners and renters
  • Handle requests and queries from management
  • Work as directed as business and technology needs change
  • Performs other work related duties as assigned

Knowledge, Skills and Abilities Required:

  • Proven experience as an administrative assistant
  • Knowledge of office management systems and procedures
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Must be customer service oriented
  • Ability to meet or exceed the company’s attendance and punctuality standards
  • Ability to understand and follow directions as given
  • Ability to work at times with minimal supervision
  • Ability to work evenings and weekends as assigned
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Exchange)
  • Prior experience with accounting systems, such as QuickBooks, is an advantage
  • High school diploma/GED required
  • Ability to read, write, fluently speak and understand English

Job Type: Full-time

Salary: $15.00 /hour
