Compliance & Anti-Financial Crime (AFC) is seeking an executive administrative assistant. The candidate will provide administrative support to the Managing Director – Americas Head of Financial Crimes Operations and additionally supporting the Managing Director – JAX Site Head of Compliance & Anti-Financial Crime. This position will report to the COO of Compliance & Anti-Financial Crime Jacksonville.

Key Responsibilities:
Directly support Americas Head of Financial Crimes Operations and back up support to the Jacksonville Site Head of Compliance and AFC
Provide support to the COO of Compliance and AFC JAX to assist in the day2day operations of the site
Coordinate the on-boarding of new employees and contractors to minimize set-up time e.g. desk location, Desktop on demand (DOD) set up, log ins, security passes, lockers etc
Coordinate office supplies, handle purchase orders and expense/ invoice processing in a timely manner
Manage desk moves & seating requests including updating seating allocation spreadsheet on a monthly basis
Handle all aspects of domestic and international travel arrangements for the Department, including but not limited to: itineraries, airline reservations, hotel accommodations, car rental/reservation arrangements, agenda and meeting materials, all expense reimbursements for invoices, travel expenses and transactions for the Department
Prepare and submit all expense reports for employees in Concur system
Coordinate complex calendars and schedules to ensure effective time management and prioritization of engagements where necessary
Organize agendas, materials and attendees in relation to management or team meetings and minute/action points as necessary
Create monthly calendar of events for managers including holiday schedules and visitors
Coordinate arrangements for meetings, including scheduling, reserving conference rooms, and ordering catering, when necessary
Create and manage team organizational charts and email distribution lists
Handle all logistical coordination for senior management visitors
Raise dbSupport incident and facilities tickets
Monitor and distribute mail received in department mail stops
Ad-hoc projects as requested

You will have:
Experience as an executive assistant supporting Senior Management
Minimum of a College degree or equivalent work experience
Excellent verbal communication and written skills
A proactive approach to tasks and responsibilities
Ability to multi-task effectively and handle change well
Detail-oriented with excellent organizational skills
Ability to communicate issues to Senior Management in an effective manner
The ability to work under pressure and within tight deadlines with no loss of accuracy
Proficient in Word, Excel, and PowerPoint
Team player with great attitude, interpersonal skills and strong work ethic
High ability to maintain confidentiality
