As the Secretary Lead, you will provide administrative and secretarial support to the Regional Sales Manager (RSM), District Sales Representatives (DSR), and Kiosk Supervisor in the Federal Way Office.

Compose and prepare correspondence, generate reports, make travel and hotel arrangements, submit expense reimbursements and monitor the budget for the Federal Way office. Keep records of motor pool vehicles, including mileage, repairs, accidents, etc.
Lead the Customer Service Specialist by training and assisting when necessary. Serves as backup to the Customer Service Specialist.
Create, format, edit, and maintain multiple tracking spreadsheets.
Generate and receive reports requested by the RSM or DSRs. Assist DSRs and retailers with problems and questions. Check status of tickets and packs in the field. Processes return ticket packs from the DSR's. Schedules ticket shreds and oversees shred process.
Coordinate retailer license applications. Complete paperwork and monitor progress of placement of Lottery equipment at retail locations.
Maintain and be responsible for regional warehouse to include incoming deliveries of Point of Sale (POS) material, promotional items, and all other warehouse items. Manage signage and in-counter dispenser requests for DSRs and/or Lottery retailers; track in database and send requests to Olympia. Order all office supplies.
Answer inquiries, resolve customer complaints including refund requests, and advise customers of proper procedures involved in appealing agency decisions; interpret policies, procedures, RCWs and WACs pertaining to ticket validation, game rules, and tax requirements. Assist player by checking and redeeming winning lottery tickets.

We are looking for someone who has:
High School graduation and two years' experience in an office setting performing administrative/clerical duties.

Knowledge of business English, spelling, grammar, punctuation.

Multi-Tasking - Ability to prioritize and perform multiple tasks in the same timeframe, handle interruptions appropriately, and return to incomplete tasks
Office/Administrative - Fully skilled in performing/full understanding of administrative procedures, office and organization methods. Familiar with Washington's Lottery policies and procedures.
Leading - assigning and directing work; instructing, coaching, and identifying training needs; and the ability to actively monitor employees' progress and performance and provide honest, timely feedback. Ability to provide guidance and direction to other staff, including setting goals and expectations, and monitoring performance. Ability to promote teamwork to accomplish tasks.
Teamwork - Promotes cooperation and commitment within a team to achieve goals and deliverables. Knows and supports teammates' work and deliverables. Helps teammates who need or ask for support or assistance. Encourages team unity through sharing information and expertise, working together to solve problems, and putting team success first.

Customer Service – Intermediate - Possess a high degree of awareness about customer service and use those skills daily in interacting with others, both internally and externally. Able to communicate with others, whether internal or external, with a customer-service focus to give and receive information and instructions. Ability to work well with customers (responds verbally and in writing to inquiries; remains calm when dealing with angry, upset, or difficult customers; listens carefully and responds appropriately).
Lottery Technical Knowledge - Knowledge of RCWs, WACs, laws, and agency policies and procedures pertaining to general prize payment requirements, ticket validation, game rules, and tax requirements.
Office Proficiency - Proficienct with Microsoft Word to produce correspondence, tables, and other complex documents; ability to use Excel to produce, sort, filter, and edit spreadsheets; ability to use Outlook and SharePoint at a proficient level, and Internet Explorer. Willing and able to learn gaming system functions and reports.
Record Keeping – Intermediate - Document information or update records so that they reflect the most current information and form an account of changes, decisions, activity and work performed.
Warehouse Requirements - Must be able to lift up to 40 pounds and pull/push a pallet jack. Must be able to move and relocate heavy and awkwardly sized objects and use a step stool.
