Cielo Global Holdings is seeking an Office Administrator to function in three key areas of the business: reception, daily management of the office, and executive assistant duties for the Chief Executive Officer and Chief Revenue Officer. This position requires previous experience with administrative duties, preparation of documents such as letters, agendas, and contracts, coordinating events, and booking travel for others. The successful candidate will be able to function in a fast paced office with the ability to prioritize and make decisions while performing a variety of tasks from stocking the office break room to preparing contracts for the CEO.

Essential Job Duties:
Serve as the front line support for the office by answering the phone, screening and directing calls, and greeting office visitors and directing person(s) to the appropriate parties
Support company leadership and other key staff members through completion of administrative tasks, coordination of calendars, and assisting with travel arrangements
Make travel arrangements for the executive team with exceptional attention to detail
Prepare agendas, documents, presentation materials, and work with 3rd party facilities to ensure successful meetings
Coordinate CEO and other executives' schedules and manage calendars to ensure that activities are properly arranged and prevent conflicts
Handle office tasks such as preparing meeting areas and presentation materials, answering emails and phone calls, and data entry
Order and store office supplies, food and beverages for break rooms and meeting rooms, and schedule miscellaneous office services (water, housekeeping, etc.)
Be responsible for overall appearance of the office
Maintain executive town home
Run errands as needed

Minimum Requirements:
High School Diploma, a degree in Business Administration or relevant field preferred
Advanced knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint) and the capability to utilize office equipment (scanner, fax, multi-line phones, etc.)
A minimum of three years of experience in administrative services or related field
