Your Opportunity

To assist in the financial and management responsibilities of projects, the role of Project Manager Assistant (PMA) has been established to work with a Project Manager (PM), and ultimately help ensure the successful execution of a project. The roles and responsibilities of an PMA will vary depending on the specific project and PM requirements. Staff who may fill the PMA role can be identified by looking for those who have the following traits:

Your Key Responsibilities

The following are typical responsibilities that may be assigned to the PMA by the PM. Other responsibilities may arise depending on the project-specific scope of work and/or changes in project-specific needs.Assist PM with financial tasks for projects:

Weekly review of project charges.

Weekly review of task budgets.

Review accounts receivable status and address with client if needed.

Update Earned Value Analysis (EVA).

Update Forecast.

Clear/address any provisions.

Facilitate invoicing process by reviewing billing reports (UDRs/TBRs) and coordinating with the Project Administrator (PA) to finalize invoices.

Coordinate with subcontractors by executing agreements, change orders, managing budgets, invoicing, and payment.

Assist in preparing change order requests.

Compile and maintain project task list and communicate to project team when changes occur.

Prepare and maintain project team contact list, which includes client team members, Stantec team members, and project subcontractors.

Follow PM Framework.

Ensure project follows MEDAD requirements.

Compile and maintain project mailing list, if applicable

Performs other administrative duties as required.

Education and Experience

High School Diploma with minimum of 2-3 years experience; or Post secondary degree in related field; or equivalent combination of education and experience.

Position will primarily work in an office setting.
