Job Summary

In the Admissions and Records Department, the Student Services Specialist assists students with admission, residency, identity authentication, registration, transcript request, transfer credit evaluation, enrollment verification, degree/certificate processing and related services. Supports the work of the Student Services Technicians in these same areas, addressing more complex questions and issues. This position is also involved in the processing of high school transcripts, special admission of students under age 18, determining athletic eligibility, providing basic academic advising and financial aid information, as well as group presentations related to enrollment.

Essential Functions

50% - On the frontline, provide assistance to customers in the areas of admission; matriculation requirements; residency policies and statutes; class registration and pre-requisite checking. Provide basic advising and financial aid information. Track both outbound transcripts and inbound academic transcripts, evaluating them for transfer of credit. Service is provided in-person, on the phone, via email and other electronic means. Service takes place in the Enrollment Center, Welcome Desk, Call Center, and off-site. Assist faculty and staff with technical questions in the area of admission/residency, class registration, prior learning assessment, graduation, and related areas. Emphasis on providing accurate, timely information to customers

30% - Monitor various A&R (Admissions & Records) service email accounts and respond to customer needs, process National Student Clearinghouse enrollment data, run daily reports for possible corrections to be made in the student information system. Participate in CRM (Customer Relations Management) system projects and outbound call campaigns. Provide graduation-related services such as verification of requirements, award posting, ordering diplomas, and assisting with Commencement event

10% - Support the Welcome Desk and other frontline staff by assisting with complex problems and customer issues. Participate in the training of A&R student and temporary staff. Serve as a back-up to other Student Services Specialists and the A&R Office Coordinators

10% - Other duties as assigned

Minimum Qualifications

Associate’s Degree from a regionally accredited institution in business administration, education or directly related field, and one year of experience assisting with educational program development and coordination, student advisement, financial aid, or related student development programs.

OR

An equivalent combination of the conferred degree and directly related full-time as describe above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications

One (1) year experience or more working collaboratively in teams to complete projects
One (1) year experience or more in a position requiring an understanding of Family Education Rights and Privacy Act (FERPA) or other federal laws
One (1) year experience or more using a database system
Special Working Conditions

Possession of a valid State of Arizona Class D driver's license is required; must meet minimum standards regarding driving: http://www.maricopa.edu/legal/rmi/vehicle.htm#requirements
Travel to campus during interview/selection process will be at candidate’s own expense
Will be required to travel or be assigned to all MCCCD/GCC locations
May require numerous evenings or weekends
May require prolonged periods of viewing a computer screen
May be required to lift or carry up to 25 lbs
