Primary Objectives:
Develop and maintain effective and efficient systems of operations
Create and prepare program related materials
Monitor, prepare and disseminate written and spoken communications across all programs
Schedule meetings, organize travel logistics, maintain the calendar and provide related support to the Executive Director and Program Manager(s)
Coordinate logistics for program related meetings and events

Scope of Responsibility:
Maintain all aspects of office operation (equipment, supplies, phones, efficient filing system, correspondence, calendar)
Schedule and coordinate a wide variety of programs/activities (e.g. appointments, meetings, workshops, travel reservations/accommodations, facility usage, etc.) for the purpose of making necessary arrangements for assigned administrator, and school personnel
Assist Executive Director and Program Manager(s) in all aspects of office procedures and administrative tasks for the purpose of providing assistance with their functions and responsibilities
Participate in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees. This includes approximately 2-3 evening meetings per month.
Prepare a variety of documents (e.g. correspondence, agendas, minutes, event handouts, PowerPoint presentations, reports, etc.) for the purpose of communicating information and/or creating documentation in compliance with established client agreements
Maintain the safety, organization and professional appearance of the front office and general areas
Respond to a variety of inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information or direction and/or facilitating communication between parties
Reconcile account balances for assigned budget categories for the purpose of maintaining accurate account balances

Skill and Experience Requirements:
Minimum of 2-years of proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
Knowledge of office administrator responsibilities, systems and procedures
Attention to detail and accuracy
Excellent communication and interpersonal skills; ability to maintain a positive attitude and professionalism with a wide-range of clientele
Excellent writing, spelling and grammar skills
Excellent computer skills and proficiency in Microsoft Word, PowerPoint, and Excel
Ability to honor confidentiality and to use discretion in communication is required
Bilingual in Spanish a plus
Ability to operate general office technology and equipment with proficiency
Punctuality and reliability are required
Reliable transportation to and from office and scheduled events
Must be willing to submit to a background check, Live Scan Fingerprinting and TB Testing
Valid driver’s license
Compensation: 1099 contract to start. Pay rate based on experience.
