The Executive Compensation Specialist supports the administration of compensation plans for senior officers including stock plan administration, benchmarking, and the annual merit and incentive processes.

Major Responsibilities:
Stock Plan Administration

  • Own stock plan administration, including ESPP, restricted stock awards, restricted stock units and performance restricted stock units and ESPP for employees and non-employee directors
  • Independently prepare and conduct uploads for payroll team and stock plan administrator. Provide transaction specifics for proper recording
  • Partner with Legal and third-party vendors to develop participant communications
  • Coordination with Finance, Legal, and Payroll to ensure accurate and timely data reporting
  • Annually assess compliance with stock ownership guidelines
  • Act as primary point of contact for third-party vendors as well as colleague and retiree inquiries regarding long-term incentives

  • Under guidance of manager and in partnership with Legal and Compensation, develop tables for inclusion in the proxy
  • Compile information and data for inclusion in the annual proxy statement and maintain the proxy back-up binder with all documentation for the CD&A, tables, footnotes and shareholder proposals
  • Respond to internal and external audit requests in a timely manner
Board of Director Pay

  • Provide day-to-day support related to Board of Director compensation
  • Manage the Deferred Compensation process for Board of Directors
  • Process quarterly payments and maintain accurate records
  • Coordinate with Accounting to process meeting fees for Advisory Board
  • Prepare communications in coordination with Legal and third-party vendors

  • Represent compensation on HR projects as appropriate
  • Run small to medium compensation projects
  • Assists with annual executive compensation projects such as the annual incentive process, Compensation Committee materials, incentive and stock forecasting, and total rewards statements
  • Conduct senior officer compensation orientations
  • Prepare and analyze compensation information in response to regulatory requests on an ad hoc basis

  • Review employee deferred compensation contributions each pay period and confirm files received by vendors match the payroll files
  • Provide compensation information to internal departments such as Audit, Finance, Accounting, and Legal
  • Provide ad-hoc reports as necessary
  • Run established reports on a daily to monthly basis
  • Maintain exception and termination logs
  • Development and preparation of various presentation materials for the Compensation Committee and internal management committees
  • Escalate Compensation requests and questions as necessary

  • Bachelor's Degree from an accredited University
  • 3 years' experience in Human Resources
  • 2 years' experience in project management
  • 2 years' experience in financial analysis, statistics or data analysis
