Primary Purpose:
The Purchasing Assistant is responsible for providing administrative support to the Purchasing Agent, including receiving, tracking, billing, and inventory of product. The position will be responsible for providing quality services and solutions to our internal clients while maintaining a high level of client satisfaction.

Principal Duties and Accountabilities:
Assist purchasing agent in communicating with suppliers /vendors.
Make corrections on purchase orders due to system or other errors.
Enter purchase orders through the company s accounting system as required by the buyer.
Gathering new supplier information on the accounting system and update other supplier information as required.
Assist buyers, including Project Managers and other operations staff in the expediting of products from suppliers.
Electronically track and receive purchase offers.
Work with vendors to gather shipment ETA s.
Communicate ETA s to internal clients and assist with escalating as necessary.
Maintain department document.
Data entry projects.

Job Scope:
The Purchasing Assistant provides administrative support to the Purchasing Agent.

Management Responsibility :
Individual Contributor – no subordinates.

Education:
High School Diploma or GED required.

Some college level coursework in Business Administration preferred.

Experience:
Excellent verbal communication skills with internal and external clients
Minimum of two years experience in an administrative support role required.
Experience within the mechanical construction industry preferred, but not required.

Knowledge, skills, and abilities :
Highly motivated, ability to work independently, and maintain accurate and detailed reports.
Must have strong multi-tasking and organizational skills.
Willing to offer new ideas and suggestions to the team as needed.
Ability to develop rapport and maintain strong working relationships with both internal and external customers.
Punctual, detail oriented and ability to analyze complex reports.
Experience with business correspondence and research preferred.
Proficiency with MS Office suite products required; Word, Excel, Outlook, & PowerPoint.
Knowledge of Data Basics or Sam Pro software programs is a plus, but is not required.

Physical and/or travel demands:
This position is done in a typical office setting, mostly sitting at a desk. Frequent use of computer keyboard, monitor, and telephone. Some standing, bending, and lifting light files is required.
