Hire will be made by International Union of Operating Engineers [IUOE]

Provides wide-ranging support for the three staff members of the IUOE GPP. Duties will encompass, answering phones/directing calls, preparing and/or reviewing Plan correspondence, preparing presentations, maintaining organized fund records, contribution processing, document scanning, distribution of mail, timekeeping, and calendar maintenance. Keeps official Plan records and executes administrative policies determined by the Trustees and/or Administrative Manager.

Responsibilities and Duties

Prepare and edit correspondence, presentations, reports (including complex Excel files), meeting notes, and other documents as needed for internal use, as well as for distribution to trustees, plan participants, plan professionals, plan employees.
Maintain organized files including meeting minutes, government filings, plan communications, etc.
Manage multiple and ongoing projects with changing priorities.
Answer calls and direct callers to appropriate staff member
Coordinate invoices, expense payments and expense reports with accounting personnel to ensure timely processing.
Maintain communications and effective working relationships with trustees, plan employees, plan participants, plan professionals and respond timely to inquiries from all interested parties including government agencies, unions, participants, attorneys, and consultants.
Provide administrative support to the Administrative Manager, Assistant Administrative Manager and Accountant, including scheduling of meetings, preparing correspondence, preparing presentations, obtaining information from plan professionals, and other similar duties as assigned.
Maintain all documentation, business licensing, insurance required by the Plan.
Perform other related duties and special projects as required.
Qualifications and Skills

Minimum of Associate's degree (A. A.) or equivalent from two-year college or technical school plus minimum of two years related experience and/or training;
Ability to prepare correspondence to plan participants, fund professionals, trustees
Experience editing correspondence prepared by others
Ability to read, analyze, and interpret Plan rules, and/or assist with explaining Plan rules
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from trustees, plan participants, customers, and the general public.
Demonstrated mathematical aptitude to verify calculations.
Ability to deal with a variety of variables and find solutions to complex problems.
Ability to interpret a variety of instructions furnished in written and oral form
Demonstrated experience with the Microsoft Office Suite. Must be proficient in Word, PowerPoint, and Excel.
Experience with accounting software, specifically Microsoft Dynamics GP is a plus.
